In this vital role, you will coordinate clinical activities, manage administrative functions, and ensure exceptional patient care. Duties Practice Leadership & Operations Management Oversee the day-to-day operations of the orthodontic practice to ensure efficiency, productivity, and exceptional patient care. Patient Experience & Treatment Conversion Ensure an outstanding patient experience from initial consultation through completion of treatment. Support treatment coordinators and clinical teams in building trust and rapport with patients and families. Oversee treatment presentation processes to ensure patients clearly understand recommended care, timelines, and financial arrangements. Monitor case acceptance metrics and implement strategies to improve treatment conversion rates. Assist with complex patient concerns, escalations, and service recovery situations. Promote patient retention and long-term satisfaction through exceptional communication and follow-up systems. Financial Management & Practice Performance Manage practice production, collections, and key performance indicators (KPIs) to achieve organizational goals. Monitor daily, weekly, and monthly financial performance and identify opportunities for growth and improvement. Oversee insurance verification processes, financial arrangements, payment plans, and collections. Ensure accurate posting of charges, payments, adjustments, and account reconciliation. Review and analyze reports related to consultations, treatment starts, collections, accounts receivable, and practice growth initiatives. Develop and implement strategies to increase production, collections, and overall profitability. Scheduling & Resource Management Oversee provider and team schedules to maximize efficiency, productivity, and patient access. Monitor appointment utilization, schedule effectiveness, and patient flow throughout the practice. Ensure appropriate staffing levels and coordinate coverage for absences, schedule changes, and operational needs. Work closely with providers to optimize treatment scheduling and production opportunities. Implement systems to minimize cancellations, no-shows, and schedule gaps. Team Development & Human Resources Assist with recruiting, interviewing, hiring, onboarding, and training new team members. Conduct performance evaluations and provide ongoing coaching, mentorship, and accountability. Identify training needs and coordinate professional development opportunities. Support conflict resolution and employee engagement initiatives. Promote adherence to company policies, procedures, and performance expectations. Administrative & Compliance Oversight Ensure accurate and timely maintenance of patient records and documentation within Dentrix Ascend and other practice systems. Maintain compliance with HIPAA, OSHA, state regulations, and company policies. Oversee administrative functions including reporting, documentation, records management, and office communications. Monitor operational metrics and generate regular reports for leadership review. Implement process improvements and technology solutions to enhance practice operations. Marketing & Growth Initiatives Support practice growth through community outreach, referral relationship development, and patient engagement programs. Collaborate with leadership on marketing initiatives, promotions, and growth strategies. Monitor new patient acquisition, referral trends, and patient retention metrics. Identify opportunities to enhance the practice's reputation and market presence Lead, coach, and support administrative and clinical team members to achieve practice goals and maintain high performance standards. Foster a positive, accountable, and patient-centered culture aligned with the practice's mission and values. Develop, implement, and monitor office systems, workflows, and standard operating procedures to improve efficiency and consistency. Serve as the primary liaison between providers, team members, vendors, and external partners. Travel between practice locations as needed to support operations and team development. Experience Minimum 2-3 years of orthodontic dental management experience required. Previous experience leading teams within a dental or orthodontic practice preferred. Strong understanding of orthodontic treatment workflows, patient coordination, and case acceptance processes. Proven ability to manage production goals, collections, and operational performance metrics. Experience with dental insurance verification, treatment financing, and patient financial arrangements. Proficiency with Dentrix Ascend or similar dental practice management software. Strong leadership, coaching, and team development skills. Excellent communication, organizational, problem-solving, and decision-making abilities. Ability to manage multiple priorities in a fast-paced, multi-provider environment. Professional, dependable, and patient-focused leadership style. Bilingual (English/Spanish) preferred.
