As the Dental Office Manager, you will play a critical role in ensuring the smooth operation of our practice, providing exceptional patient care, and managing administrative tasks. Responsibilities:
Practice Management:
Oversee the day-to-day operations of the dental office, ensuring efficient workflow and adherence to established protocols and procedures.
Team Leadership:
Supervise and support office staff, including dental assistants, receptionists, and administrative personnel. Foster a positive work environment and promote teamwork and professional growth.
Patient Care:
Ensure exceptional patient service by coordinating appointment scheduling, managing patient records, and maintaining a welcoming and comfortable office environment.
Financial Management:
Monitor and manage financial activities, including billing, insurance claims, and accounts receivable/payable. Implement strategies to optimize revenue generation and control costs.
Regulatory Compliance:
Maintain a thorough understanding of dental industry regulations, including HIPAA and OSHA guidelines. Ensure compliance with all relevant laws and regulations, as well as quality assurance standards.
Technology and Equipment:
Stay current with dental technology trends and oversee the efficient use of dental software, digital imaging systems, and other office equipment. Coordinate maintenance and repairs as needed.
Inventory and Supplies:
Manage inventory levels, order dental supplies, and ensure adequate stock levels are maintained. Develop relationships with suppliers to negotiate favorable terms.
Patient Relations:
Foster positive patient relationships by addressing inquiries, concerns, and complaints in a professional and timely manner. Strive for excellent patient satisfaction and retention.
Marketing and Business Development:
Collaborate with the marketing team to develop and implement marketing strategies to attract new patients and grow the practice. Represent the practice at community events and networking opportunities.
Requirements:
Proven experience as a Dental Office Manager or in a similar role within a dental practice. Fluent and proficent with oral and written English and Spanish. Excellent leadership and interpersonal skills, with the ability to motivate and manage a diverse team. Strong knowledge of dental office operations, including appointment scheduling, insurance billing, and regulatory compliance. Proficiency in dental software systems (Eaglesoft) and experience with digital imaging technology. Exceptional organizational and multitasking abilities, with meticulous attention to detail. Solid understanding of dental terminology, procedures, and treatments. Strong financial acumen and experience with financial management, including billing, insurance claims, and accounts receivable/payable. Familiarity with marketing strategies and the ability to contribute to the development and implementation of marketing plans. Outstanding communication skills, both written and verbal, with the ability to interact effectively with patients, staff, and external stakeholders. Knowledge of relevant dental industry regulations, including HIPAA and OSHA guidelines.
