Position Overview:
Responsive Centers is seeking a highly organized and detail-oriented Practice Manager to oversee the daily operations of our practice. The Practice Manager will play a critical role in ensuring the smooth and efficient functioning of the office, supporting both our clinical staff and clients. This position requires a proactive individual with excellent communication skills and a commitment to maintaining a professional and welcoming environment.
Key Responsibilities:
Administrative Management:
Oversee all administrative functions, including scheduling, client intake, and office communications. Manage the front desk, ensuring a positive and professional first point of contact for clients and visitors. Maintain office supplies and equipment, coordinating repairs and orders as needed.
Financial Operations:
Monitor and manage office budgets, expenses, and financial records. Assist in payroll processing and maintain accurate employee records.
HR and Staff Support:
Coordinate onboarding and training for new employees, ensuring they are familiar with office policies and procedures. Manage staff schedules, including time-off requests and coverage arrangements. Serve as a liaison between staff and management, addressing any administrative concerns or needs.
Client Relations:
Ensure a high level of client satisfaction by providing excellent customer service and addressing any concerns promptly. Manage client records, ensuring confidentiality and compliance with HIPAA regulations. Coordinate with Providers and other staff to facilitate smooth client flow and appointment scheduling.
Office Coordination:
Plan and organize office events, meetings, and staff functions. Develop and implement office policies and procedures to improve efficiency and workflow.
Technology and Systems Management:
Oversee office technology, including computer systems, software, and phone systems. Troubleshoot basic IT issues and coordinate with external IT support when necessary.
Qualifications:
Experience in office management or a related administrative role, preferably in a healthcare or mental health setting. Proficiency in office software, including Microsoft Office Suite and EHR systems. Strong organizational and multitasking skills, with the ability to prioritize tasks effectively. Excellent communication and interpersonal skills, with a focus on customer service. Knowledge of billing and insurance processes is a plus. Ability to handle sensitive information with confidentiality and professionalism.
