This includes training, performance indicator management, workflow optimization, compliance, revenue and billing, and ensuring patient and workplace satisfaction. Key Responsibilities Leadership & Culture Model a positive, professional, culture focused on accountability, communication, and excellence. Establish ongoing training and cross training for staff. Support hiring, onboarding, training, and staff retention efforts. Operational Management & Managing Financial Performance Oversee daily operations of the practice, ensuring efficiency, seamless patient flow, and high-quality care. Manage billing, revenue and other fiscal responsibilities such as budgeting, financial reporting, billing processes, and expense control using AthenaHealth. Maintain and enforce standard operating procedures, treatment protocols, safety standards, and best practices as outlined in handbook. Oversee inventory, supply ordering, vendor coordination, equipment maintenance, and IT systems as needed.
Track and manage key metrics:
revenue, rebooking, provider utilization and report to owner. Ensure efficient scheduling to optimize office productivity. Monitor collections, production, and key performance metrics. Oversee billing and insurance processes and credentialing. Analyze and report insights to ownership regarding performance and growth opportunities and implement action plans when targets are not met. Ensure full compliance with OSHA, HIPAA, state medical board regulations, and internal policies. Maintain compliance with industry regulations and office protocols Recruit, train, and mentor team members as needed Supervise chart audits, documentation standards, and treatment quality checks. Patient Experience & Growth Address patient concerns or service issues promptly and professionally. Support team training in EMR systems, patient outreach and office protocols. Collaborate with the owner and marketing team on campaigns, events, promotions, and community outreach. Support providers and front desk teams in driving rebooking, referrals, and patient retention. Qualifications (required) 3+ years of management experience in a medical office service setting . • Bachelor's degree in Business, Healthcare Administration, Nursing, or related field. • Experience with multi-location operations is a plus. Must have experience with EMRs and their reporting functions (experience with Athena Health is a plus) Strong billing experience is a must. Proven ability to manage and hold teams accountable. Strong leadership, coaching, and conflict-resolution skills. Highly organized, detail-oriented, and comfortable building systems and structures. Must be able to utilize EMR system and scheduling platforms and reporting tools and formats (excel) to their full capabilities . Proficiency in standard office software (e.g., Microsoft Office). Physical and Mental Requirements Must be able to transport and move office equipment and files weighing up to 25 lbs. occasionally.
