This position partners closely with the Practice Manager to drive efficient clinic operations, elevate the patient experience, ensure regulatory compliance, and foster a high-performing team environment. Key Responsibilities Operations Management Support oversight of daily clinic operations across ENT, Allergy, and Audiology services Optimize patient flow, scheduling efficiency, and provider utilization across all departments Monitor key performance metrics and identify opportunities for operational improvement Assist in developing, implementing, and maintaining office policies and procedures Staff Supervision & Development Provide direct support and oversight to front desk, clinical support staff, allergy technicians, and audiology team members Assist with recruitment, onboarding, training, and performance management Develop and manage staff schedules to ensure appropriate coverage and efficiency across all service lines Promote accountability, teamwork, and a positive workplace culture Patient Experience Address patient concerns and complaints promptly with a focus on service recovery Maintain high standards of patient satisfaction and customer service Monitor wait times and collaborate on workflow improvements Financial & Administrative Support Support revenue cycle processes including registration accuracy, coding workflows, and collections Monitor insurance verification, prior authorizations, and billing accuracy Assist with budget tracking, expense management, and supply procurement Analyze operational and financial reports to support data-driven decision-making Compliance & Quality Assurance Ensure adherence to HIPAA, OSHA, and all regulatory requirements Support accreditation efforts and quality improvement initiatives Maintain audit readiness and proper documentation standards ENT, Allergy & Audiology Service Coordination Oversee allergy clinic workflows, including testing and immunotherapy scheduling Ensure proper handling, storage, and inventory of allergy extracts and supplies Coordinate ENT procedures, including scheduling and equipment readiness Oversee audiology department scheduling, workflows, and provider utilization to ensure efficient throughput and optimal patient access Collaborate with audiology staff to streamline hearing evaluations, testing protocols, and hearing aid workflows Reporting Structure Reports directly to the Practice Manager Qualifications Education & Experience Bachelor's degree in Healthcare Administration, Business, or related field (preferred) 3-5 years of experience in medical practice operations (ENT, Allergy, Audiology, or specialty clinic preferred) Prior supervisory or leadership experience strongly preferred Skills & Competencies Strong leadership, organizational, and team management skills Working knowledge of medical billing, coding, and insurance processes Experience with EMR/EHR systems (e.g., Epic, eClinicalWorks, Athenahealth) Excellent communication, problem-solving, and decision-making abilities Ability to multitask and perform in a fast-paced clinical environment Working Conditions Full-time position in a clinical office setting May require occasional early mornings, evenings, or travel between locations Key Performance Indicators (KPIs) Patient satisfaction and experience scores Staff productivity, engagement, and retention Clinic efficiency (wait times, patient throughput) Revenue cycle performance and accuracy Benefits 401(k) with an employer contribution Medical, dental and vision insurance Company paid long and short-term disability insurance + basic life insurance Generous paid time off and paid holidays (including floating holidays)
