Medical Assistant Supervisor Reports to:
Practice Manager and Physicians Duties and Responsibilities:
MUST HAVE AT LEAST 5 YEARS OF DERMATOLOGY EXPERIENCE TO APPLY. THIS IS A LEADERSHIP ROLE. PRN
Duties:
Assists Practice Manager with development of a formal job description for the Medical Assistants. Assists Practice Manager with interviewing potential new hires, onboarding process as well as termination processes upon their departure. Supervise training for all new Medical Assistants on office policies, procedures, handling of sharps, and electronic charting Provide software/IT support when needed. Assists with Nextech updates, licensing, portal updates, EMR templating, schedule templating. Maintains Ipad security, updates, passwords, etc. Maintains and updates the Medical Assistant Manual. Provides MAs with access to further educational opportunities through handouts and local meetings. Manages team of senior MAs to maintain CLIA manual and compliance. Manages team of senior MAs to maintain OSHA manual and compliance.
Monthly Duties:
Creates MA monthly schedule and coordinates MA daily coverage of all offices Responsible for providing input into the 3-month evaluations and yearly reviews for the Medical Assistants. Attends meetings with Practice Manager, physicians, and staff on a regular basis to ensure ongoing training and fluid, open communication between teams Oversees maintenance of medical equipment and instruments (communicates issues to Office Manager).
Weekly Duties:
Manage review of patient charts/labs/pathologies when they are unavailable and reviews their unlocked notes/open notes for errors, for all physicians. MA will check for any labs that are outstanding (has not been returned after one week for cultures and after 2 weeks for pathology and call to follow up) MA will check any labs/path that have been returned to a MD inbox for plan-if there is no plan for more than 2 weeks, please send To Do to MD. MA will check the pathology log for each MD and make sure that any outstanding skin cancers are accounted for (treatment plan in place) or if they have been treated, mark pathology complete, if this has not been done. Audit logs for autoclave / sterilization procedure and ensure that all steps were appropriately met and documented
Daily Duties:
Acts as a liaison between the physicians and the medical assistants. Manages running of back office daily duties in all offices such as cleaning, stocking, charting, phone calls. Assign other tasks to the Medical Assistant Team such as the ordering of supplies, medical waste picks up, delivery of liquid nitrogen, stocking of rooms, cleaning the autoclaves, etc. Supervise Medical Assistant team to make sure all daily tasks are completed. Ensure MAs are proficient with procedures (set up of surgical tray, assisting with surgeries, and bandaging depending on needs of patients) Ensure MAs are handling sharps appropriately Ensure that MAs are following due process to sterilize sharps appropriately Ensure that MAs know how to scribe appropriately including obtaining and charting a thorough history (especially prior treatments), real time scribing of physical exam and treatment Ensure that all MD schedules are running smoothly If MD is very behind, please make sure MAs are updating patients with wait time. If MD is very behind, trouble shoot where the backlog is.
