We are a busy multidisciplinary outpatient mental health practice across two locations. We need a Practice Manager who owns operations end-to-end, steps in wherever needed, and keeps everything running so clinicians focus on care.
The right person will be:
You combine hands-on work with bigger-picture leadership — fiscal oversight, staff supervision, compliance, and real fixes that move the needle. This role demands a thick skin, you don't bruise easily•comfort with tough conversations, and the drive to enforce a strong, supportive culture. If you spot problems fast, fix them without waiting. What You'll Do Every Day Run daily operations at both sites: scheduling, patient flow, logistics, admin workflows, and facilities. Drive between locations as needed (mileage reimbursed).
Handle aspects of fiscal management:
cross train on billing and revenue cycle processes, financial reports, and caseload levels to keep the practice solid. Lead hiring, onboarding, cross-training, and supervision for admin, reception, admissions, billing, and support staff. Everyone learns multiple roles so we cover gaps quickly. Co•Manage aspects of the HR process, performance evaluations, and employee relations while enforcing clear standards and culture. Own compliance with HIPAA, state regulations, OSHA, and documentation rules. Run audits and keep records tight. Work directly with our EHR system (Epic, eClinicalWorks, TherapyNotes, SimplePractice, or similar) to keep data accurate and flows smooth. Build and monitor operational dashboards — no-shows, schedule fill rates, productivity, patient metrics — then bring clear reports and action plans to C-suite. Coordinate with providers on clinical workflows, utilization, and practice issues. Jump in on reception, admissions, billing follow-up, or admin tasks when the team needs coverage. Drive quality improvements that cut friction for patients and staff. What We Need From You 3-5+ years in medical office or healthcare operations leadership, ideally in behavioral health or multi-site outpatient settings. Strong track record in fiscal management — budgeting, billing, expense control, and turning numbers into decisions. Direct experience with HR, staff supervision, performance management, and tough conversations. Solid knowledge of EHR platforms (Epic, eClinicalWorks, Dentrix, Eaglesoft, TherapyNotes, or equivalent) and healthcare regs including HIPAA and OSHA. Self-starter mindset with proven ability to manage multiple priorities across locations. Valid driver's license and comfort traveling between our two buildings. Bachelor's in healthcare admin, business, or related field preferred. Previous mental health or multidisciplinary clinic work stands out.
