Job Description
Overview We are seeking a dedicated and organized Bookkeeper/Office Manager to join our dynamic team. This vital role combines financial management with office administration, ensuring smooth daily operations and accurate financial record-keeping. The ideal candidate will possess strong clerical and bookkeeping skills, excellent communication abilities, and a proactive approach to office management. Responsibilities Manage all aspects of bookkeeping, including data entry, invoicing, accounts payable and receivable, and bank reconciliations using QuickBooks or similar accounting software. Oversee front desk operations, greeting visitors, managing multi-line phone systems, and providing excellent customer service. Maintain organized filing systems for financial documents, client records, and office supplies. Handle calendar management, appointment scheduling, and coordinate meetings for staff and clients. Support administrative functions such as proofreading documents, managing correspondence, and performing general clerical duties. Assist with office management tasks including supply ordering, maintaining office equipment, and ensuring a professional work environment. Provide customer support via phone and email, demonstrating proper phone etiquette and effective communication skills. Utilize Google Workspace and Microsoft Office tools for document creation, data entry, reporting, and correspondence. Support personal assistant duties as needed to facilitate executive workflow. Maintain confidentiality of sensitive information while ensuring accuracy in all record keeping. Requirements Proven experience in office management or administrative roles with a focus on bookkeeping; dental or medical receptionist experience is a plus. Proficiency in QuickBooks for bookkeeping tasks; strong computer literacy across Microsoft Office Suite and Google Workspace. Excellent organizational skills with the ability to prioritize tasks effectively. Strong clerical experience including data entry, filing, proofreading, and document management. Bilingual abilities are highly desirable to serve diverse client needs. Exceptional customer service skills with professional phone etiquette across multi-line phone systems. Experience with calendar management, time management strategies, and administrative support functions. Knowledge of medical or dental receptionist procedures is advantageous but not required. Personal assistant experience is beneficial for supporting executive needs.
