Job Description

Job Summary We are seeking an energetic and highly organized Office Manager to oversee the daily operations of our office environment. This pivotal role involves managing administrative tasks, coordinating front desk activities, and ensuring smooth communication across departments. The ideal candidate will be a proactive problem-solver with excellent organizational skills, capable of handling multiple responsibilities with enthusiasm. As the backbone of our office, you will create a welcoming atmosphere for visitors and support our team in maintaining efficiency and professionalism every day. Responsibilities Greet visitors, clients, and vendors warmly while managing front desk operations with professionalism and courtesy Answer multi-line phone systems promptly, directing calls efficiently and providing exceptional customer service Manage calendar scheduling, appointments, and meetings using tools like Google Workspace and Microsoft Office Handle data entry, filing, and document proofreading to ensure accuracy and organization across all administrative records Maintain office supplies inventory, coordinate equipment maintenance, and oversee general office upkeep Provide clerical support including typing correspondence, managing emails, and supporting bookkeeping activities using QuickBooks or similar software Assist with personal assistant duties such as travel arrangements, calendar management, and task prioritization to support team members effectively Experience Proven office management experience with a strong background in administrative support roles Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Experience handling multi-line phone systems and providing excellent phone etiquette in a professional setting Bilingual abilities are highly desirable to serve diverse client needs effectively Prior experience in customer service or customer support roles that require strong interpersonal skills Familiarity with clerical tasks such as data entry, filing, proofreading, and record keeping Knowledge of medical or dental receptionist duties is a plus but not required; relevant experience in healthcare settings is advantageous Join us to be part of a dynamic team where your organizational talents will shine!
