Our dental practice is seeking a dynamic Office Manager to streamline administrative operations, foster a positive work environment, and enhance overall efficiency. Responsibilities:
Oversee daily office operations to ensure seamless workflows and efficient processes. Manage and coordinate administrative tasks, including scheduling dental appointments, handling phone calls, and responding to emails. Maintain inventory of office supplies and initiate orders as required. Coordinate meetings and events, preparing agendas, taking minutes, and managing logistics. Assist with financial management tasks, such as invoicing, budgeting, and expense tracking. Support human resources functions, including recruitment, onboarding, and employee record maintenance. Implement and uphold office policies and procedures to ensure compliance with company standards. Collaborate with various departments to facilitate effective communication and information sharing.
Skills:
Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant. Knowledge of office administrator responsibilities, systems, and procedures. Proficiency in MS Office (particularly MS Excel and MS Outlook). Hands-on experience with office machines (e.g., fax machines and printers). Excellent time management skills with the ability to multitask and prioritize work. Attention to detail and strong problem-solving skills. Bilingual proficiency is a plus. Excellent written and verbal communication skills. Strong organizational and planning skills in a fast-paced environment. Creative thinking with the ability to suggest improvements. High school degree; additional qualifications as an Administrative Assistant or Secretary are a plus. Experience with Open Dental Software is a plus. Able to start ASAP. Insurances and Office manager experience is plus. Comfortable with flexible hours. Knowledge in verifying patient insurance, confirming appointments, collecting upfront charges from patients, managing collections, and possessing experience in explaining dental treatment plans.
