Job Description

Job Summary We are seeking a dynamic and highly organized Heavy Civil Construction Office Manager to oversee the administrative operations of our construction projects. This role is vital in ensuring smooth communication, efficient scheduling, and effective management of office functions related to construction activities. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for supporting project teams to deliver successful outcomes. This role is crucial in ensuring smooth communication between clients, vendors, and leadership while maintaining accurate financial and project documentation. Responsibilities Manage daily office operations, including filing, record keeping, and maintaining project documentation Serve as a key point of contact for client communications, providing updates and ensuring a high level of service Manage and prioritize company email communications, ensuring timely and professional responses Coordinate with upper management, superintendents, subcontractors and vendors Prepare and manage contracts, proposals, and project documentation Oversee invoicing, billing, lien waivers and compliance Maintain job cost tracking and assist with budgeting Process permits, licenses and ensure regulatory compliance Supervise administrative staff and provide training & development opportunities to enhance team performance Handle vendor management tasks such as credit apps, procurement, contract tracking, and communication with suppliers and subcontractors Oversee human resources functions including payroll processing, employee onboarding, and maintaining personnel records Strong proficiency in QuickBooks for financial management, bookkeeping, budgeting, invoicing, and financial record management related to construction projects Support medical or specialized office management tasks if applicable within the construction setting Facilitate communication across teams through effective calendar management and phone etiquette Proven experience in office management within a construction or related industry environment Excellent organizational skills with the ability to manage multiple schedules and deadlines efficiently Experience in residential and or commercial construction and public works Strong knowledge of construction processes, contracts and terminology Familiarity with office software tools such as Microsoft Office, excel, HCSS Ability to adapt quickly to changing priorities while maintaining attention to detail Join us in a role that combines energetic leadership with meticulous organization! Pay:
$75,000.00 - $135,000.00 per year
