Job Description

Overview We are seeking a dynamic and highly organized Office Manager/Receptionist to join our team! This vital role combines front desk responsibilities with office management duties, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, ready to create a welcoming environment for clients, visitors, and staff alike. This paid position offers an exciting opportunity to be the heartbeat of our office, supporting administrative functions and maintaining an efficient workspace. Duties Greet visitors and clients warmly, managing front desk operations with professionalism and enthusiasm Answer multi-line phone systems promptly, directing calls accurately and courteously Manage appointment scheduling and calendar coordination using Microsoft Office and Google Workspace tools Perform data entry, filing, and document proofreading to ensure accuracy and organization Handle incoming and outgoing correspondence, including emails, mailings, and courier services Maintain office supplies inventory, order necessary materials, and oversee general office upkeep Provide administrative support such as typing reports, managing customer support inquiries, and assisting with bookkeeping tasks using QuickBooks or similar software Support office management activities including organizing meetings, overseeing clerical tasks, and ensuring efficient workflow Qualifications Proven experience in office management or administrative roles with strong clerical skills Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Strong organizational skills with the ability to multitask effectively in a fast-paced environment Exceptional phone etiquette skills with experience handling multi-line phone systems Bilingual abilities are a plus for communicating with diverse clients and staff Previous experience as a receptionist or in customer service roles such as dental or medical receptionist is highly desirable Familiarity with bookkeeping software like QuickBooks is advantageous Demonstrated ability to manage calendars, perform data entry accurately, and handle confidential information discreetly Join us to be part of a vibrant team where your organizational talents will shine!
