We operate a 3,000 sq ft flagship space offering primary care, cardiology, internal medicine, neurology, sleep medicine, interventional pain management, GLP-1 medical weight loss, and in house diagnostics (ultrasound, EKG, telemetry, home sleep studies, PFT, allergy testing, VitalScan Pro). We are in-network with all major commercial payers and are actively expanding into longevity and performance medicine over the next 12 months. We are physician-owned, growing fast, and looking for an operator who wants to grow with us — not a manager looking for a maintenance role. The Role We are hiring a Practice Manager to own the day-to-day operations of the practice. This is a hands-on operator role, not a desk job. You will be on-site, walking the floor, solving problems in real time, and making the practice run better every week. The right person will be promoted to Director of Operations based on performance — not on a fixed timeline. We will define clear KPIs and review them quarterly. When you hit them consistently, the title and compensation move with you. What You'll Own Daily operations. Front desk flow, schedule integrity, provider templates, patient throughput, opening/closing procedures, staff coverage. If the practice runs smoothly, that's you. Workflows and protocols. Build, document, and enforce SOPs across scheduling, intake, check-out, diagnostic ordering, results follow-up, and patient communication. We use athenaOne; you'll own template and workflow optimization inside it. Patient experience and reviews. Own our Google, Zocdoc, and Healthgrades ratings. Build the systems that turn satisfied patients into 5-star reviews and turn complaints into resolutions before they hit the internet. Vendor management and supply chain. Negotiate with medical supply, lab, imaging, and equipment vendors. Own inventory, ordering cadence, and cost control across all service lines. Marketing oversight. Manage the digital marketing contractor, hold them accountable to KPIs, coordinate local outreach, and ensure our online presence matches the quality of care inside the building. Financial growth. Partner with the owner on revenue cycle performance (collection rate, denial management, payer mix), service line P&L, and the rollout of new revenue streams. You don't need to be a CFO, but you need to read a P&L and understand what drives it. What You'll Be Measured On Patient volume and provider and services utilization Patient satisfaction scores and online review ratings Staff retention and team performance Successful launch of new service lines on time and on budget Vendor cost reduction year-over-year Required Experience 5+ years in medical practice management, preferably in a multispecialty or specialty outpatient setting Hands-on experience with athenaOne (or comparable EMR/PM system) — scheduling templates, reporting, billing workflows Basic understanding of revenue cycle and front-end billing in a New York commercial insurance environment Team management experience — you've hired, trained, coached, and let go of staff Vendor negotiation experience — you've meaningfully reduced costs or improved terms Comfort with KPIs and dashboards — Excel/Google Sheets fluency required You'll Thrive Here If You Want to build something, not just maintain it Take ownership without being asked Are comfortable having direct conversations with physicians, staff, vendors, and patients Have strong opinions, hold them loosely, and update them with new information See a problem and fix it instead of escalating it You Won't Thrive Here If You Want a start up environment with significant potential and opportunities to grow Prefer policy over judgment Need detailed direction to take action Are uncomfortable in a fast-changing environment where priorities shift weekly Compensation and Growth Base salary: $70,000-$85,000 commensurate with experience Performance bonus: Quarterly bonus tied to defined
