Job Description

Job Overview We are seeking a highly organized and proactive Office Manager to oversee the administrative operations of an elementary school. This vital role ensures the smooth functioning of daily activities, supports staff and student needs, and maintains an efficient office environment. The ideal candidate will possess strong leadership qualities, exceptional communication skills, and a comprehensive understanding of office management within an educational setting. Duties Oversee daily office operations, including front desk management, multi-line phone systems, and visitor reception Coordinate scheduling for staff meetings, school events, and student activities to ensure seamless calendar management Supervise administrative staff, providing training and development opportunities to foster a collaborative team environment Manage vendor relationships, negotiate contracts, and oversee procurement processes for supplies and services Handle human resources functions such as onboarding new staff, maintaining personnel records, and supporting payroll processes using software like QuickBooks Maintain accurate bookkeeping records, manage budgets, and perform basic financial tasks including invoicing and expense tracking Organize school events through detailed planning and coordination to promote community engagement Ensure compliance with administrative policies, filing systems, and recordkeeping standards for both physical and digital documents Support medical office management duties as needed, including maintaining health records and coordinating with healthcare providers Uphold excellent communication standards through phone etiquette, email correspondence, and interpersonal interactions with staff, students, and parents Experience Candidates should possess a minimum of three years of office management experience within an educational or similar organizational setting. Prior supervisory experience is essential to effectively lead administrative personnel. Familiarity with bookkeeping software such as QuickBooks is required for financial management tasks. Candidates should demonstrate strong organizational skills with the ability to multitask efficiently while maintaining attention to detail. Experience in event planning, vendor management, human resources functions—including payroll—and office administration are highly desirable. A background in medical office management or working within a school environment will be considered advantageous. Excellent communication skills are necessary to foster positive relationships across diverse stakeholders.
