Responsibilities Assist in managing daily office operations, including front desk duties, filing, and maintaining organized records Coordinate scheduling for meetings, appointments, and events, ensuring optimal use of time and resources Supervise administrative staff and support team members through training, development, and performance feedback Oversee vendor management by negotiating contracts, processing invoices, and maintaining professional relationships Handle bookkeeping and financial tasks using QuickBooks or other financial software to ensure accurate record-keeping Support human resources functions such as onboarding new employees, managing payroll processes, and maintaining personnel files Manage office supplies inventory, facilitate budget tracking, and ensure compliance with organizational policies Skills Proven experience in office management or administrative roles with strong organizational skills Demonstrated supervising experience with the ability to lead and motivate teams effectively Proficiency in QuickBooks, Microsoft Office Suite, and other relevant financial or office management software Excellent communication skills with professional phone etiquette and the ability to handle multi-line phone systems confidently Strong event planning capabilities for coordinating meetings, trainings, or company functions Knowledge of human resources processes including onboarding, payroll management, and employee relations Ability to manage schedules efficiently using calendar management tools and prioritize tasks effectively Experience with vendor management, budgeting, bookkeeping, and basic accounting principles Familiarity with medical office management or similar environments is a plus but not required Exceptional attention to detail combined with strong problem-solving abilities and technical proficiency Join us as an Assistant Office Manager where your organizational talent and leadership will help shape a vibrant workplace!
