Kenton and Cathedral Animal Hospitals are seeking our next Assistant Practice Manager. We are two independently women-owned companion animal practices located in Portland's vibrant Kenton and St. Johns neighborhoods. Community involvement is at the heart of what we do, and we take pride in supporting local organizations and events including the Portland Animal Welfare (PAW) Team, PrideVMC, PVMA, OVTAA, and more. As an integrative practice, we offer a multi-modal and individualized approach to each patient through traditionally familiar Western medicine, as well as other modalities which includes TVCM, acupuncture, laser therapy, herbal medicine and massage therapy. We practice Fear-Free techniques and take each patient's physical and emotional well being into account for each visit. What is an Assistant Manager/Office Manager? Two clinics means a lot of spinning plates, and having multi-tier management helps to keep those plates balanced. Our optimal candidate is someone who is organized, emotionally intelligent, calm under pressure, and excited about helping veterinary teams function smoothly. This role works closely with hospital leadership and our Practice Manager to support day-to-day operations, staff coordination, scheduling, communication, and workflow improvement. This is an ideal position for someone with veterinary leadership experience who enjoys balancing people support with operational problem-solving. You must be able to maintain a warm and professional appearance and demeanor under pressure, as well as be willing to have the "difficult conversations" between clients and staff alike.
Responsibilities Responsibilities may include:
Assisting with staff scheduling and shift coordination Supporting day-to-day hospital operations across two locations Helping manage workflow and staffing needs Assisting with hiring coordination and onboarding Supporting internal communication and team organization Helping maintain SOPs and operational systems Assisting with inventory/facilities coordination as needed Providing leadership support to reception and technician teams Helping troubleshoot scheduling and operational challenges Supporting payroll and administrative workflows We value leaders who are: Proactive about problem solving Clear but kind in your communication Dependable, adaptable, and reliable Team-oriented Willing to jump in and help where needed Qualifications Preferred qualifications: 2+ years Veterinary clinic experience required Prior leadership or supervisory experience strongly preferred Strong organizational, written, and verbal communication skills Comfortable managing multiple priorities at once Ability to remain professional and solution-oriented under stress Experience with scheduling software, Google Workspace, and veterinary practice management systems preferred Full time availability required HR, payroll, or operations experience is a plus Priority given to those with an associates or bachelors degree in relevant fields This role requires the ability to sit and stand for periods lasting 10 hours, lift up to 40 pounds, safely restrain animals, bend/kneel frequently, and move throughout the hospital to support team members and patient care, along with performing administrative computer and phone work.
