This is a unique opportunity to work directly with practice leadership and physicians while learning the operational, financial, and personnel aspects of running a successful medical practice. While this position begins as an Administrative Assistant role, our goal is to develop the right individual into a Medical Office Manager over time. What You'll Do As a key member of our administrative team, you will work closely with leadership to support daily operations, human resources, payroll administration, recruiting, accounting functions, and special projects.
Your responsibilities will include:
Human Resources & Employee Administration Coordinate new employee onboarding and orientation Assist with employee benefits administration, enrollments, changes, and terminations Support annual open enrollment activities Work with insurance and benefits vendors Maintain personnel records and confidential employee information Payroll & Administrative Operations Maintain payroll system records, employee information, and benefit elections Prepare payroll data for processing each pay period Maintain electronic and physical filing systems Manage incoming and outgoing mail Order and maintain office supplies Greet visitors and provide administrative support to leadership Recruiting & Talent Acquisition Create and manage job postings Screen and respond to applicants Coordinate interviews and candidate communications Assist with recruiting events and physician recruitment activities Accounting & Financial Support Process accounts payable Prepare reimbursement and expense reports Organize financial records and supporting documentation Executive & Project Support Gather reports and data for physician meetings Coordinate office events, recruiting dinners, staff celebrations, and special projects Assist with marketing initiatives, photo shoots, and operational improvement projects What Success Looks Like The ideal candidate is someone who: Takes initiative without waiting to be asked Enjoys creating systems and improving processes Communicates professionally and confidently Can manage multiple priorities with accuracy and attention to detail Maintains confidentiality and professionalism Wants to grow into a leadership roleQualifications Preferred Experience Experience managing staff Administrative Assistant, Executive Assistant, Office Coordinator, HR Assistant, or similar administrative experience Experience with payroll, benefits administration, recruiting, or bookkeeping is a plus Healthcare experience is helpful but not required Skills Strong organizational and time-management abilities Excellent written and verbal communication skills High attention to detail Proficiency with Microsoft Office and business software Ability to handle sensitive and confidential information
