Job Description

Position Summary Paragon Personal Healthcare, the private concierge medical practice of Dr. Rebecca Plute, M.D. is seeking a highly organized, compassionate, experienced Medical Office Manager to support both clinical coordination and daily office operations within a personalized, patient-centered medical practice. This is an opportunity to work closely with a respected physician in a relationship-based healthcare environment where patient care, communication, and continuity matter. The ideal candidate has medical office experience, strong clinical support skills, excellent communication, strong follow-through, and the ability to manage multiple priorities in a close-knit practice setting. Key Responsibilities Patient Communication & Scheduling
  • Answer phones and manage patient communication
  • Schedule patient appointments and support calendar flow
  • Manage patient portal messages and follow-up communication
  • Support patient intake and coordination processes
  • Help triage urgent requests appropriately
  • Coordinate communication with patients, pharmacies, labs, specialists, hospice providers, and other healthcare partners Clinical Support
  • Take blood pressures and support patient clinical needs
  • Perform blood draws as appropriate to experience/certification
  • Support lab coordination and patient follow-up related to testing/results
  • Assist with prescription refill coordination and pharmacy communication
  • Support physician workflow during patient care activities Administrative & Office Support
  • Maintain accurate patient records and EHR updates
  • Coordinate prior authorizations and insurance-related follow-up
  • Handle medical records requests and documentation workflows
  • Manage faxes and route documents appropriately
  • Support billing-related administrative coordination as needed
  • Assist with general office administration and coordination activities as needed Practice Operations
  • Help maintain smooth daily office flow
  • Support physician schedule and workflow organization
  • Manage interruptions and shifting priorities calmly
  • Maintain organized communication and follow-up tracking
  • Support transition, workflow consistency, and documentation improvements
  • Identify administrative bottlenecks or workflow gaps as needed Preferred Qualifications
  • Medical Assistant experience required
  • LPN experience preferred but not required
  • Prior physician office, concierge practice, or patient-centered healthcare environment strongly preferred
  • Experience with blood draws, vitals, EHR systems, patient communication, and scheduling
  • Familiarity with prior authorizations, insurance verification, referrals, and medical records
  • Hospice coordination experience is a plus but not required
  • Strong computer skills and comfort working within electronic medical records Key Characteristics
