Full-Time (4 Days / Week, Monday-Thursday, No Office Hours on Fridays) Job Summary We are seeking an experienced Orthodontic Practice Manager to take complete ownership of our office's daily business operations, financial workflows, and physical environment. This is an all-in-one leadership role ideal for a professional who loves variety, balances financial precision with operations, and takes pride in running a smooth, compliant practice. In this role, you will lead our essential financial workflows, support our front desk functions, handle basic internal IT needs, and manage our physical facility. Key Responsibilities Financial Coordination & Billing Manage all insurance billing, claims submission, and pre-authorizations. Present and draft financial agreements, set up contracts, and manage flexible payment plans for new patients. Set up patient auto-drafts for recurring monthly payments. Oversee Accounts Receivable (A/R): process payments, maintain accurate ledger balances, and follow up on delinquent accounts to maintain steady practice cash flow. Office & Operations Track and report monthly practice metrics and business performance. Support front desk workflows and patient coordination as needed. Coordinate with our Treatment Coordinator to ensure smooth handoffs from consultations to financial contracts. Facilities, IT & Vendor Management Maintain office computers, hardware (printers, scanners, monitors), and internal IT functions, serving as the main contact for external tech support. Oversee the physical office space, managing relationships with local maintenance companies. Monitor office inventory to keep the practice fully stocked and within budget. Maintain strict compliance with OSHA and HIPAA guidelines. Ideal Qualifications •
Experience:
3+ years of orthodontic or dental office business experience preferred •
Microsoft Office, familiar with Tops Software is ideal, but we are happy to train the right candidate. Comfortable troubleshooting computers and basic office technology is highly valued. •
Leadership Style :
A proactive problem-solver who excels at managing a facility, IT tasks, and financial workflows independently. Education Bachelors Degree preferred
