This role serves as the on-site leader for Medical Assistants, Front Desk, and Call Center staff. The ideal candidate will have a strong background in medical office operations and clinical workflow management, with experience supervising Medical Assistants and supporting providers in a fast-paced outpatient setting. This position may be filled by an experienced Medical Assistant who has progressed into leadership or a nurse with medical practice management experience. Required Qualifications Minimum 5 years of experience in a medical office setting Minimum 2 years of supervisory or management experience Strong understanding of clinical operations, patient flow, and medical office workflows Experience supervising Medical Assistants and/or clinical support staff Experience with Electronic Health Records (eClinicalWorks preferred) Excellent communication, leadership, and problem-solving skills Preferred Qualifications Certified Medical Assistant, LPN, RN, or equivalent clinical background Experience with eClinicalWorks (ECW) Knowledge of medical billing processes and revenue cycle operations Experience with staff development and performance management Key ResponsibilitiesClinical Operations & Staff Leadership Directly supervise Medical Assistants, Front Desk, and Call Center staff. Oversee daily clinical operations to ensure efficient patient flow and provider support. Develop staffing schedules and ensure appropriate coverage for clinical and administrative functions. Assist with interviewing, hiring, onboarding, and training new staff. Conduct performance evaluations and provide coaching, corrective action, and performance improvement plans as needed. Serve as a resource and mentor for Medical Assistants and clinical support staff. Monitor and improve clinical workflows, patient throughput, and operational efficiency. Patient Experience & Quality Address and resolve patient concerns and service issues in a timely and professional manner. Promote a culture of excellent customer service and patient-centered care. Ensure compliance with office policies, procedures, HIPAA, OSHA, and regulatory requirements. Assist with implementation and monitoring of quality improvement initiatives. Practice Operations Manage day-to-day office operations and facility needs. Coordinate ordering and inventory management of medical and office supplies. Oversee equipment maintenance and coordinate vendor services as needed. Ensure a safe, organized, and professional work environment. Collaborate with providers and leadership to identify operational improvements. EHR & Workflow Management Oversee office workflow within the electronic health record system. Assist with implementation of workflow enhancements, templates, and process improvements. Support staff training related to EHR usage and documentation workflows. Experience with eClinicalWorks strongly preferred. Collaboration with Practice Leadership Partner with the remote Practice Director on staffing, budgeting, operational goals, and strategic initiatives. Assist with reporting, operational metrics, and performance monitoring. Communicate practice needs, challenges, and opportunities for improvement to leadership.
