This position is responsible for scheduling support, insurance authorizations, billing, credentialing, intake coordination, and revenue cycle management. The Clinic Practice Manager plays a critical role in ensuring clients receive timely services, claims are submitted accurately, authorizations remain current, and providers remain credentialed. Scheduling is completed through an AI-powered scheduling platform that automates much of the scheduling process. Rather than manually building schedules from scratch, this role focuses on managing exceptions, resolving scheduling conflicts, and ensuring authorized hours are being utilized appropriately. This is a hands-on position for someone who enjoys organization, problem-solving, and keeping multiple systems running efficiently. Responsibilities Scheduling & Operations Utilize an AI-powered scheduling platform to manage client and staff schedules. Billing & Revenue Cycle Submit and track insurance claims using EZClaim. Follow up on claim denials, rejections, and outstanding balances. Invoice patients and track payments. Assist with invoicing and reporting through QuickBooks as needed. Ensure services billed align with authorized services and documentation requirements. Authorizations & Utilization Management Track insurance authorizations and authorized hours. Monitor CPT code utilization and identify over- or under-utilization. Maintain accurate authorization records. Assist with authorization renewals and payer communications. Coordinate with clinical staff regarding authorization needs. Credentialing & Compliance Complete provider credentialing and recredentialing applications. Maintain CAQH profiles and payer enrollment records. Complete payer attestations and required documentation. Maintain knowledge of payer requirements and ABA insurance policies. Ensure compliance with HIPAA and organizational policies. Intake & Insurance Verification Coordinate new client intake and onboarding. Verify and re-verify insurance benefits. Track prospective clients throughout the intake process. Communicate with families regarding insurance and intake requirements. Maintain accurate intake documentation. Administrative Support Maintain organized electronic records and documentation. Track attendance, cancellations, and service metrics. Support communication between clinical and administrative teams. Complete special projects and additional duties as assigned. RequirementsRequired Qualifications Minimum 2 years of experience in healthcare administration, medical billing, insurance operations, ABA services, or a related field. Experience with insurance authorizations, credentialing, billing, or revenue cycle management. Strong organizational and time management skills. Excellent attention to detail and accuracy. Strong written and verbal communication skills. Ability to prioritize multiple tasks and meet deadlines. Proficiency with Microsoft Office and cloud-based software. Ability to work independently and manage responsibilities with minimal supervision. Commitment to confidentiality and HIPAA compliance. Preferred Qualifications Experience in Applied Behavior Analysis (ABA), behavioral health, therapy services, or healthcare operations. Knowledge of ABA CPT codes and insurance authorization processes. Experience with EZClaim, CAQH, and credentialing platforms. Familiarity with commercial insurance and Medicaid billing processes.
