Duties Manage daily office operations, including overseeing clerical tasks such as filing, data entry, and document proofreading to ensure accuracy and efficiency. Maintain and troubleshoot multi-line phone systems, answer inquiries with professional phone etiquette, and direct calls appropriately. Coordinate calendar management and schedule appointments for staff and executives using productivity software like Microsoft Office and Google Workspace. Handle front desk responsibilities by greeting visitors, managing visitor logs, and providing excellent customer support to clients and staff. Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing, expense tracking, and basic financial record keeping. Assist with office management tasks such as ordering supplies, organizing files, managing mail distribution, and maintaining a clean workspace. Provide bilingual support when needed to facilitate communication with diverse clients or team members across different languages. Qualifications Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, data entry, and general computer literacy. Experience with QuickBooks or other bookkeeping software is highly desirable. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong communication skills with professional phone etiquette; bilingual abilities are a plus. Prior experience as a front desk receptionist or medical/dental receptionist is beneficial. Demonstrated technical proficiency in managing multi-line phone systems, calendar management tools, and productivity software.
