Practice Operations Manager (Outpatient Psychiatry Practice)

Part-Time Contract (5-10 hours/week) About the Role We are launching a new outpatient psychiatry practice and are seeking an experienced Practice Operations Manager to support the setup and ongoing management of our administrative and patient care workflows. This role will oversee the day-to-day operational functions of the practice, including patient communications, scheduling, insurance verification, EMR management, and administrative workflow development. The ideal candidate has experience supporting a medical or behavioral health practice, is comfortable working with technology platforms, and can independently manage patient-facing operations in a remote environment. Experience with eClinicalWorks (eCW) , Availity , and cloud-based phone/VoIP systems is strongly preferred. Key ResponsibilitiesPatient Communication & Phone Operations Manage incoming and outgoing patient communications through cloud-based phone/VoIP systems Handle patient calls, voicemails, appointment requests, and general inquiries Maintain a professional and compassionate patient experience Manage secure communication workflows while maintaining HIPAA compliance Assist with patient follow-up and care coordination tasks Scheduling & Clinical Workflow Support Manage provider calendars and appointment scheduling within the EMR Schedule new patient evaluations, follow-up visits, medication management appointments, and other services Coordinate appointment changes, cancellations, reminders, and waitlists Understand clinical scheduling needs and appointment types within psychiatry workflows Support providers by ensuring schedules are accurate and optimized EMR Management (eClinicalWorks Preferred) Perform daily administrative workflows within eClinicalWorks (eCW) Create and maintain patient charts, demographics, insurance information, and appointment details Manage intake workflows and patient documentation processes Maintain accurate scheduling templates and provider availability Assist with improving EMR workflows as the practice grows Insurance Verification & Payer Operations Verify patient insurance eligibility and benefits prior to appointments Confirm behavioral health coverage, copays, deductibles, and patient responsibility Utilize payer portals such as Availity to verify eligibility and access insurance information Maintain accurate insurance records within the EMR Support prior authorization workflows when required Communicate insurance-related information clearly to patients Practice Operations & Workflow Development Help build efficient workflows for a new psychiatry practice Create repeatable processes for: Patient intake Scheduling Insurance verification Communication Documentation Identify operational issues and recommend solutions Develop SOPs and training materials for future team members Required Experience Prior experience working in a medical office, behavioral health practice, or healthcare operations role Experience managing: Patient scheduling Insurance verification Patient communications EMR workflows Hands-on experience with healthcare EMRs (eClinicalWorks preferred) Experience using insurance portals such as Availity preferred Experience with web-based phone systems / VoIP platforms Strong understanding of HIPAA requirements and patient privacy Comfortable working independently in a remote environment Strong organizational and communication skills Preferred Experience Psychiatry or behavioral health practice experience Familiarity with clinical workflows and provider scheduling needs Experience supporting a startup practice or building processes from scratch Experience with commercial insurance plans and Medicare Experience training administrative staff Experience optimizing EMR workflows Compensation $35-$60/hour based on experience 5-10 hours/week with flexible scheduling
