We are a supportive, hardworking (but fun!), remote team committed to making dental care safe and accessible. Position Summary The Regional Division Lead plays a critical leadership role running the "ground game" and overseeing daily operational functions within Bay Anesthesia Group's Southern CA Division. This role serves as a central point of support and logistics engine between partner dental offices, patients, providers, and internal teams while maintaining exceptional organizational standards and customer service. The ideal candidate is a sharp, high-energy, and detail-oriented professional capable of balancing multiple administrative responsibilities in a fast-paced healthcare environment, ensuring all cases progress efficiently from intake through treatment completion. Key Responsibilities 1.
Southern California Division Oversight & Scheduling Relationship Management:
Build and maintain strong relationships with partner dental offices, serving as a consistent point of contact, handling regional concerns, and proactively addressing operational trends.
Onboarding:
Manage outreach and operational onboarding for new dental offices.
Complex Schedule Management:
Establish, maintain, and oversee yearly, monthly, and daily office schedules to maximize efficiency.
Provider Coordination:
Manage Southern Division provider time-off schedules and General Anesthesia (GA) requests within Drchrono. Coordinate provider arrival and start times. Inform dental offices of attending GA and Clinical Assistant (CA) providers, and distribute GA provider contact info while securing emergency office contacts. Identify office needs for releasing or adding provider days, and track requested days versus accepted days.
Check-ins & Alignments:
Conduct 1-week and 2-week date-of-service (DOS) check-ins, monthly or semi-monthly non-scheduling office touchpoints, and weekly mini-team alignment meetings. 3.
Intake & Patient Administrative Operations Chart Management:
Accurately create and enter patient charts, manage data infrastructure, and upload necessary Bay Anesthesia paperwork.
Patient Onboarding:
Send initial patient introductions and digital OnPatient registration links.
Workflow Processing:
Manage case coordination, handle special circumstance cases/escalations, and process ARS and ACS workflows.
Financial Services:
Process over-the-phone deposits and payments, assist patients/offices with insurance questions or claims support, and generate and distribute superbills.
Cross-Team Collaboration:
Answer incoming phone calls professionally, manage high-volume email queues, and collaborate with the Communications and Intake Teams through alternating daily workflow responsibilities. 4. Leadership & Compliance Expectations Demonstrate high professional standards, accountability, initiative, and adaptability within a fast-paced team environment. Maintain strict confidentiality and compliance with company policies and healthcare regulations (HIPAA). Act as a direct liaison between providers, offices, patients, and internal departments to drive team collaboration and operational efficiency. Actively assist with process improvement initiatives and workflow optimization across the division.
Qualifications & Skills Location Requirement:
Must currently reside in Southern California.
Experience:
Previous experience in medical or dental administration, scheduling, healthcare coordination, or case management is required.
Technical Proficiency:
Proficiency with EMR/EHR systems is required, with specific experience in DrChrono and OnPatient preferred. Proficient in Google Workspace, Microsoft Office, Slack, and related communication platforms.
Operational Skills:
Exceptional organizational, multitasking, and prioritization abilities; sharp attention to detail and strong follow-through.
Communication Skills:
Excellent written and verbal communication skills; ability to interact clearly, professionally, and assertively with doctors, clinical staff, patients, and internal teams.
