Dental Office ManagerPosition Summary We are seeking an experienced, energetic, and detail-oriented Dental Office Manager to oversee the daily operations of our growing dental practice. This leadership role is responsible for ensuring efficient office operations, exceptional patient experiences, strong financial performance, regulatory compliance, and effective team management. The ideal candidate will possess excellent organizational, communication, and leadership skills, along with a thorough understanding of dental practice management and revenue cycle operations. The Dental Office Manager will work closely with dentists, hygienists, dental assistants, and administrative staff to create a productive, patient-centered environment while supporting the practice's clinical and business objectives. Key ResponsibilitiesLeadership & Team Management Lead, supervise, and motivate dental office staff, including dental assistants, hygienists, treatment coordinators, front desk personnel, and administrative team members. Foster a positive, collaborative, and professional workplace culture. Conduct staff training, onboarding, coaching, and performance evaluations. Assist with recruitment, hiring, scheduling, and staff development initiatives. Address employee concerns and promote accountability and teamwork. Practice Operations Oversee daily office operations to ensure efficient workflow and high-quality patient care. Monitor patient scheduling, appointment confirmations, and treatment coordination. Improve patient flow, reduce wait times, and enhance overall patient satisfaction. Ensure effective communication between clinical and administrative departments. Develop and implement office policies and procedures to improve operational efficiency. Financial Management Manage budgeting, financial reporting, accounts receivable, and practice performance metrics. Oversee billing, collections, insurance verification, claims processing, and revenue cycle management. Monitor key performance indicators (KPIs) and recommend strategies to improve profitability and productivity. Review production and collection reports and ensure accurate financial recordkeeping. Support treatment plan acceptance through effective patient financial coordination. Compliance & Risk Management Ensure compliance with HIPAA, OSHA, and all applicable federal, state, and local healthcare regulations. Maintain accurate patient records and documentation within electronic health record (EHR/EMR) systems. Implement and monitor office policies related to privacy, safety, infection control, and record retention. Prepare for audits and maintain regulatory readiness. Patient Experience Promote exceptional customer service and patient satisfaction. Resolve patient concerns professionally and promptly. Ensure a welcoming, respectful, and compassionate environment for all patients. Support patient retention and practice growth initiatives. Technology & Systems Management Utilize dental practice management software such as Dentrix, Eaglesoft, Open Dental, or similar systems. Maintain accurate patient information, scheduling records, insurance data, and treatment plans. Generate operational and financial reports to support decision-making and strategic planning. Collaborate with vendors and technology providers to maintain office systems and equipment. QualificationsRequired Minimum of 3 years of management or supervisory experience in a dental or healthcare setting. Strong knowledge of dental office operations, insurance processes, and revenue cycle management. Experience with dental practice management software (Dentrix, Eaglesoft, Open Dental, or equivalent). Understanding of HIPAA, OSHA, and healthcare compliance requirements. Excellent leadership, organizational, problem-solving, and communication skills. Ability to manage multiple priorities in a fast-paced clinical environment. Preferred Bachelor's degree in Healthcare Administration, Business Administration, or a related field. Experience managing multi-provider dental practices. Knowledge of treatment planning, insurance benefits, and patient financing options. Familiarity with quality improvement initiatives and performance management.
