Full Job Description Office Manager Job Description:
Finance
  • Manage all bookkeeping functions using QuickBooks for Literacy United and The Reading Connection
  • Invoice and charge fee for service clients monthly including 1-1 clients and schools
  • Create estimates for new school programs
  • Process payroll
  • Collaborate with CPAs at Whitley Penn to ensure all bookkeeping is up to date
  • Reconcile bank and credit card transactions in bank
  • Report to board quarterly including but not limited to PNL
  • Ensure all client debts are paid in a timely manner
  • Receive and process all donations in DonorBox and QuickBooks
  • Track expenditures for various grants as dictated by grant terms
  • Assist development and clinical director in creation of Literacy United annual budget
  • Assist in creation of Literacy United annual report
  • Train specialists on tracking time and use of timesheets
  • Report to the Board of Directors on a quarterly basis about organization efforts, successes, and needs. Scheduling/Planning
  • Assist clinical director and diagnostician with scheduling of new evaluations.
  • Onboard new clients and answer any client questions
  • Assist with calendar maintenance
  • Plan TRC town hall meetings including location, food, handouts, attendance
  • Plan Literacy United board meetings including location, food, handouts, attendance
  • Set up programs at new PNP schools
  • Assist with new program creation as needed.
  • Communicating in a timely manner with CIA's, schools, specialists, and families Grant Program Management
  • Track RFL client attendance, communicate with RFL parents to manage grant session usage, send RFL parent survey to track RFL program satisfaction, and update RFL data for program evaluator
  • Track PO usage for PNP schools and assist schools to determine expenditures
  • Track expenses and requirements for grants as they are secured by executive clinical director and development consultant.
  • Track student attendance and descriptive data for annual report to region 11
