Job Description

Job Overview We are seeking a dynamic and highly organized Office Manager to lead our administrative operations and ensure the smooth functioning of our office environment. This role is vital in coordinating daily office activities, managing administrative staff, and providing exceptional support to both internal teams and external clients. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive attitude to foster an efficient, welcoming workplace. This paid position offers an exciting opportunity to be at the heart of our operations, ensuring productivity and professionalism at all times. Duties Oversee daily office operations, including managing front desk activities and multi-line phone systems to ensure seamless communication. Greet visitors, clients, and vendors professionally, providing exceptional customer service and maintaining a positive office atmosphere. Manage appointment scheduling, calendar coordination, and meeting arrangements for staff and executives. Handle clerical tasks such as data entry, filing, proofreading documents, and maintaining accurate records using Microsoft Office and Google Workspace tools. Maintain office supplies inventory, coordinate equipment maintenance, and oversee general office cleanliness and organization. Support bookkeeping activities using QuickBooks or similar software to manage invoices, expenses, and financial records. Assist with special projects including personal assistant duties, calendar management for executives, and supporting medical or dental receptionist responsibilities as needed. Skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Excellent phone etiquette with experience managing multi-line phone systems and providing customer support. Bilingual abilities are highly desirable to communicate effectively with diverse clients and team members. Demonstrated experience in office management or administrative roles with clerical expertise such as filing, proofreading, data entry, and calendar management. Knowledge of QuickBooks for bookkeeping purposes along with basic computer literacy skills. Exceptional time management skills to handle multiple responsibilities efficiently while maintaining attention to detail. Previous experience as a front desk or medical/dental receptionist is advantageous; personal assistant experience is a plus.
