Job Description

Job Overview We are seeking a dynamic and highly organized Director of Operations / Office Manager to lead our administrative functions and ensure the smooth, efficient operation of our office environment. This role combines strategic oversight with hands-on management of daily office activities, vendor relationships, and team supervision. The ideal candidate will be proactive, detail-oriented, and possess exceptional communication skills to foster a productive workplace. You will play a vital role in coordinating administrative processes, managing budgets, and supporting team development to create an energized and well-organized office atmosphere. Duties Oversee daily office operations, including front desk management, multi-line phone systems, and calendar coordination to ensure seamless communication and scheduling. Supervise administrative staff, providing training, development opportunities, and performance feedback to foster a motivated team. Manage vendor relationships, negotiate contracts, and coordinate services such as supplies, maintenance, and facility management to optimize operational efficiency. Handle bookkeeping tasks including QuickBooks entries, payroll processing, budgeting support, and expense tracking to maintain financial accuracy. Coordinate event planning for meetings, staff functions, and community outreach activities to promote engagement and professional growth. Maintain organized filing systems—both digital and paper—to ensure quick access to essential documents such as medical or legal records. Oversee human resources functions including onboarding new employees, managing HR documentation, and ensuring compliance with policies. Implement office policies related to phone etiquette, visitor management, and overall administrative procedures to uphold a professional environment. Experience Proven supervisory experience leading administrative or office teams within a fast-paced environment. Strong background in office management with hands-on experience in clerical tasks such as filing, scheduling, and front desk operations. Demonstrated expertise in event planning and vendor management to coordinate logistics effectively. Proficiency in QuickBooks for financial record-keeping along with experience in payroll processing and budgeting support. Familiarity with medical office management or healthcare-related administrative procedures is a plus. Excellent organizational skills with the ability to multitask efficiently while maintaining attention to detail. Exceptional communication skills—both verbal and written—to interact confidently with staff, vendors, clients, and visitors. Experience working with multi-line phone systems, calendar management tools, and basic bookkeeping software is highly desirable.
