Job Description

Medical Office Manager
JOB SUMMARY
Assists the Owners and Chief Executive Officer in obtaining the strategic goals, plans, and objectives of the organization. Gives direction and leadership to the Patient Care Coordinators, New Patient Representatives, Central Verification Specialists, and Billing and Collections staff toward the achievement of the organization's mission, philosophy, strategy, and its annual goals and objectives. Meets regularly with the organization's executive staff to coordinate action between the divisions. Ensures the company's policies are enforced, that there is compliance in our programs, and that strategic plans are aligned so there is expansion for the whole organization. Reviews the statistics of the organization on a weekly basis and prepares strategy plans and/or battle plans accordingly. Must be familiar with a variety of the field's concepts, practices, and procedures. Relies on experience, good judgment, and intuition to plan and accomplish goals. Required to direct and lead the work of others. Reports directly to the Chief Executive Officer, Owners, and Board of Directors. A wide degree of creativity, initiative, and latitude is expected.

REQUIRED QUALIFICATIONS
  • Must have a Bachelor's Degree with one year of leadership experience OR 3 years of executive experience.
  • Must have at least one year of experience in an Executive or Supervisory Role in a healthcare organization.
  • Must possess the ability to work independently to meet deadlines and complete projects.
  • Must be proficient in Microsoft Office, Excel, and Power Point.
  • Must demonstrate the ability to function as an Executive by leading others in the achievement of the organization's overall mission and objective.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Overseeing administrative operations of all clinics, including interaction with all employees regarding things that fall under your jurisdiction on the organizing board.
This may also include interaction with patients regarding insurance concerns, discussions with law offices regarding patient medical records, or other administrative questions that arise, which the receptionists may not be able to address adequately.
  • Overseeing the Front Desk staff at all clinics to ensure there is adequate productivity for each Front Desk staff member. Scheduling administrative staff to ensure we remain fully staffed.
  • Supervising the Billing and Collections department to make sure there are always adequate funds to maintain and continue to expand our clinical operations.
  • Ensuring that all employees are trained in our company's policies, procedures, and systems so that all staff have knowledge of how to increase their personal statistics and productivity at work, as well as in their personal lives.
  • Filling in for Front Desk staff on vacation or as needed during busy times.
  • Assists the owners and leadership team in creating and implementing weekly "battle plans" pertaining to the divisions under your supervision.
Human Relations Division:
  • Oversees the accuracy and maintenance of the organization board at each location.
  • Effectively manages the human resources of the organization according to authorized personnel policies and procedures that fully conform to current laws and regulations.
  • Ensures the staff of SRPT are fully trained in our company's policies, procedures, and systems and are achieving their products.
  • Makes sure the policies of SRPT are continually and equally enforced.
  • Oversees internal communications to ensure mail is routed in a timely manner.
  • Assists the VP of Operations in the compilation and reporting of the company's weekly statistics to the rest of the leadership team for use in the weekly leadership meeting.
  • Continually assesses the hiring/staffing needs of the organization and recruits in advance of our need.
Patient Care Coordinators Division:
  • Ensures our Care Coordinators greet patients in a friendly manner that sets the tone for their appointments and the level of care they will receive from SRPT.
  • Supervises the Director of Patient Care Coordinators and staff to ensure patients are scheduled and arriving on time for their appointments.
  • Ensures Patient Intake forms and medical records are filled out accurately, completely, and are kept in accordance with legal requirements.
  • Trains Front Desk staff as necessary to continually increase the level of customer service taking place as patients schedule and attend appointments.
Finance Division:
  • Works in conjunction with the CEO and Director of Finance to create and approve a monthly/yearly budget for the organization.
  • Oversees the Billing and Collections activities in the organization to ensure our charges are billed and reimbursed in a timely, accurate manner.
  • Manages in-house and third-party collections efforts.
  • Works in conjunction with the Finance Officer to purchase supplies and equipment, as well as to approve the payment of bills.
  • Ensures bills are paid accurately and timely.
  • Oversees the financial records of the practice and the accuracy of our company's monthly bank reconciliations.
