Job Description

Back Office ManagerFull-time; Permanent role Principle Spine and Pain Clear Lake/PHS Corporate Office locationMonday-Friday 8:00am-6:00pmBase salary and competitive benefits offered RESPONSIBILITIESUnder the supervision of the Practice Administrator, the Back Office Manager is responsible for the day-to-day operations of the back office including the Customer Service Team, Insurance Verification Team, and Procedure Scheduling Team.

Ensure the department is opened and closed daily, as per established schedules.

Obtains, opens, and distributes mail appropriately.

Manages and schedules the personnel.

Regularly review productivity and make staffing adjustments as needed.

Hire and train new office staff, set up employee schedules, assists Practice Administrator with employee performance evaluations.

Exhibits exceptional professionalism and customer service for patients and actively works with employees to increase these qualities. Monitor and approve employee timesheets and PTO requests.

Orders and inventories office and clinical supplies.

Regularly reviews Procedure Scheduling spreadsheet to ensure all procedures are being scheduled in a timely manner.

Ensures provider scheduling guidelines are followed in accordance with the clinics and the procedure facilities.

Ensure authorizations for office visits and procedures are obtained in a timely manner.

In conjunction with the CSR Lead, ensure scheduling guidelines are followed ensuring the provider schedules are not overbooked.

Regularly review office policies and procedures to ensure compliance with federal and state laws and regulations.

Ensure patient privacy is being maintained according to HIPAA laws.

Assists with crisis management in all areas of the practice. Additional administrative duties as assigned by the Practice Administrator. REQUIREMENTS4+ years experience working in a back office medical setting2+ years experience in a supervisory role preferred4+ years of medical office billing experience Patient Access & Scheduling Manager with strong healthcare operations experienceMust have strong knowledge of insurance guidelines, procedure scheduling, all aspects of insurance verification, deductibles, etc. Working knowledge of medical terminologyProficiency with EMR systems and software applicationsProficient in Microsoft Office Suite applicationsExcellent written and oral communication skillsStrong understanding of laws and standards of HIPAA regulationsExceptional customer service skills mandatory
