Job Description

Dental Front Office & Insurance Specialist Job Type:
Part-Time (25 - 35 hours per week)
Schedule:
Mondays, Thursdays, and Fridays (approx. 7:45 AM - 5:15 PM). We are also working on occasional Wednesdays as the office grows (currently 1-2 Wednesdays per month) Our Vision & Philosophy We are a private, single-doctor dental practice built on quality patient care, mutual respect, and authentic connections. We treat our patients and our staff like family and friends. Our ultimate goal is to nurture a high-quality, low-stress, relationship-driven environment. We are actively structuring our practice to transition toward a fee-for-service model where we can provide exceptional, unhurried care and make a great living without spending exhausting hours at work or working in a high stress environment.

True Autonomy Without Corporate Pressure I am a dedicated, high-quality clinician who loves taking care of patients, but I am not a micro-manager. I believe in hiring brilliant people and getting out of their way. You will never face corporate-style financial pressure, artificial targets, or aggressive sales tactics in this office. I do not put financial pressure on my staff and I do not push un-necessary treatment on my patients. Instead, I want an empowered office manager who has the freedom to independently manage the front office, implement efficient systems, and naturally drive practice profitability through smart organization and strong insurance strategies. I do expect regular reports on AR and performance tracking to be reported to me but I don't emphasize that over patient care. I only see financial performance as a way for us as a team to be able to be paid well for our time and to be able to afford to hire the people we need to support us. It is not my focus.

Key Responsibilities Insurance & Financial Management:
Claims & Appeals:
Independently manage all aspects of dental insurance claims, including timely submission, tracking, and fighting tough appeals.
Revenue Strategy:
Partner with the doctor to actively audit, evaluate, and negotiate our PPO fee schedules to optimize our current reimbursements as we map out our fee-for-service transition. We need your help to strategically decide which insurance to drop next and how that would affect the financial health of our office in an effort to gradually move toward a fee-for-service model.
Accounts Receivable:
Accurately post insurance payments, prepare checks for deposit, and manage patient collections with clarity and compassion.
Treatment Presentation:
Present treatment plans to patients in a warm, transparent manner that maximizes case acceptance while building trust.
Front Desk & Hospitality :
Patient Experience:
Oversee daily front desk hospitality, including warm patient check-ins/check-outs, optimized scheduling, and patient correspondence.
Communication:
Manage office phones and patient communications with a positive, professional, and welcoming attitude.
Required Skills & Qualifications Dental Front Office Mastery:
2-3+ years of independent experience managing a dental front desk and insurance workflow solo (Private practice background preferred).
Insurance Negotiation Expertise:
Direct experience auditing PPO fee schedules, analyzing write-offs, and negotiating with insurance networks (or utilizing leased networks) to optimize practice reimbursement rates.
Software Fluency:
Proven proficiency navigating Open Dental software is a major plus, modern phone systems, and general computer skills.
A Natural People-Person :
A kind, smart, and good communicator who naturally builds trusting relationships with both patients and the clinical staff. Also being able to get ahead of potential billing issues with patients before they become a bigger problem is an essential skill. We invest heavily in your direct hourly take-home pay; we do not offer traditional corporate medical insurance packages at this time.
