Dental Care Now is a modern, private-pay, on-demand dental clinic. We problem solve our patients' urgent dental problems 7 days a week with extended hours and give them the best customer service they have ever had. Our goal is to schedule patients tody, not next week. Our front desk is the first and last thing a patient experiences, and we take that seriously. We're looking for a Front Office Manager who understands that a missed call is a missed patient and skipping any step of the process means fewer patients helped.
The Role:
You own patient flow, phone performance, scheduling logistics, and front desk execution. You manage the other front desk team members and make sure they're performing at the level our patients expect. You're overseeing the system, coaching the team, tracking the numbers, and proactively fixing the gaps. The Front Office Manager reports directly to the Practice Director. What you'll do: Oversee all front desk operations: inbound calls, scheduling, check-in, checkout, payments, financing Coach front desk team on phone scripts, appointment scheduling, and patient communication Track and report front office KPIs to Practice Director Own the Google review generation process Manage patient scheduling Coordinate post-treatment check-in calls and ensure follow-up procedures are followed Order non-clinical office supplies Manage vendor relationships Keep front of house in immaculate condition Qualifications Proven experience in dental office management (2+ years in a dental front desk, office coordinator, or practice management role) Direct experience managing or supervising at least one other team member Proficiency in dental practice management software; we use Dentrix Knowledge of HIPAA regulations, medical records management, and dental terminology Excellent phone and in-person communication skills. Tone is everything in this practice Strong organizational skills and attention to scheduling detail Available to work at least one weekend day per week on a rotating basis Bonus points Bilingual (English/Spanish) strongly preferred Worked in a private-pay/fee-for-service office Familiarity with dental financing like CareCredit, Cherry, Sunbit Experience in high-ticket sales How success is measured Phone answer rate, target 100% during business hours New patient bookings per week (Strong marketing with big budget to feed office) Google review velocity (Getting reviews) Schedule optimization Checkout appointment scheduling rate. Patient leaves with a return appointment and plan for next step in treatment
