Interdependent Position Overview:
We are seeking a highly organized and dynamic Office Manager to oversee the daily operations of our Brandermill office. As the on-site leader, you will be responsible for ensuring the office runs smoothly, efficiently, and delivers a high-quality patient experience. In this hands-on role, you will lead a small team, providing guidance, training, and ongoing feedback to support their success and development. You will serve as the primary point of leadership for the location, balancing team management with active participation in daily operations. In addition to overseeing staff, you will play an integral role in front office functions, including assisting patients with scheduling, answering phones, and supporting check-in and check-out processes. Your ability to maintain strong workflows, support your team, and ensure a well-functioning and positive office environment will be essential to the success of the practice.
Schedule:
Tuesday-Friday from 6:45am - 5:15pm (Closed on Mondays and the weekend) This is a full-time position with an anticipated 40 hours per week.
Pay & Benefits:
$23-$26/hr (based on experience and qualifications) plus comprehensive benefits including medical, dental, vision, PTO, paid holidays, 401(k), scrub allowance, and more.
Key Responsibilities:
Leadership & Team Management:
Act as the primary leader for the practice, demonstrating strong leadership, professionalism, and emotional intelligence. Support and motivate your team by fostering a positive, collaborative, and efficient work environment. Lead by example and empower team members to achieve their highest potential.
Day-to-Day Operations:
Oversee all daily operations of the practice, including managing patient flow, scheduling and optimizing provider availability, and ensuring the practice runs efficiently. Proactively adjust schedules as needed to accommodate emergencies or last-minute changes. Monitor office workflow to improve productivity and patient satisfaction.
Customer Service & Patient Experience:
Ensure excellent customer service at all stages of patient interaction, from check-in to check-out. Resolve patient concerns with professionalism and empathy, ensuring a positive patient experience at all times.
Staff Development & Performance:
Manage employee relations, ensure team members have the resources and support they need to succeed, and provide consistent feedback. Assist with training and development for new hires, as well as ongoing training to meet the evolving needs of the practice. Support the performance review process for both clinical and administrative team members.
Financial & Administrative Management:
Oversee office financials, including processing daily deposits, invoicing, and managing office budgets. Monitor and maintain accurate financial records, and ensure adherence to practice policies regarding time cards, payroll, and time-off requests for direct reports.
Insurance & Billing Support:
Have a strong working knowledge of dental insurance, including verifying coverage and explaining benefits to patients. Ensure accurate input of patient demographics and insurance information into practice management software. Assist with treatment estimates and insurance verifications as necessary.
Facility Management:
Maintain the appearance, cleanliness, and functionality of the office to ensure a welcoming environment for both patients and staff.
Vendor & Referral Relationships:
Serve as the liaison between the practice and external vendors, referring offices, and other healthcare providers. Foster positive and professional relationships with referring offices to ensure a steady flow of patients and maintain a strong reputation in the community.
Problem Resolution:
Address and resolve any escalated concerns from patients, referring offices, or team members in a timely and professional manner. Utilize problem-solving skills to handle challenges that arise, ensuring a seamless practice experience.
Practice Projects & Initiatives:
Support the execution of practice-wide projects, initiatives, and tasks to enhance overall operations and patient care. Collaborate with providers and the team to implement new processes and improve practice performance.
General Administrative Support:
Handle general administrative duties as needed, ensuring the practice runs smoothly and efficiently on a daily basis.
Requirements:
Strong organizational and multitasking abilities with excellent attention to detail. Excellent communication and interpersonal skills, with the ability to lead and motivate a team. Ability to manage financial tasks and budgets, including deposits and invoicing. High level of professionalism, discretion, and emotional intelligence. Ability to handle patient concerns and conflicts effectively and professionally. Adopting and demonstrating practice values to support our culture. Proficiency in Microsoft Suite (required) Ability to lift at least 20 pounds (required)
HIPAA & OSHA
