MEDICAL PRACTICE & BILLING MANAGER

We are seeking an experienced and motivated Practice Manager to join our leadership team and help guide the continued growth and success of our practice. Position Summary Reporting directly to the physician owners, the Practice Manager is responsible for the overall administration and daily operations of the practice. This individual will oversee practice operations, financial management, human resources, billing and revenue cycle activities, compliance initiatives, patient experience programs, and strategic business development. The ideal candidate is a hands-on leader who enjoys working in a smaller practice environment, is comfortable wearing multiple hats, and is passionate about supporting both patients and staff while driving operational excellence.
Key Responsibilities Practice Operations:
Manage the day-to-day operations of the practice to ensure efficiency, productivity, and exceptional patient service. Collaborate with physicians to develop business strategies, expand services, and support practice growth. Develop, implement, and maintain policies and procedures that ensure compliance with federal, state, and local regulations. Oversee appointment scheduling, patient flow, facility maintenance, security, workplace safety, and administrative support functions. Coordinate employee schedules and time-off requests to maintain operational coverage. Manage inventory, purchasing, and maintenance of medical equipment, medications, and office supplies. Oversee incoming correspondence and administrative communications.
Financial Management:
Assist in the development and management of practice and departmental budgets. Monitor financial performance and support strategic planning initiatives. Ensure the availability of resources necessary for operational continuity. Perform daily reconciliation and month-end closing activities. Prepare and maintain supporting documentation for audits and financial reviews.
Human Resources:
Lead and support administrative team members, including receptionists, medical records personnel, and other support staff. Manage recruitment, onboarding, training, performance management, and employee development. Conduct performance evaluations and provide coaching, counseling, and disciplinary action when appropriate. Coordinate payroll processing and verify employee work hours, overtime, vacation, holiday, and reimbursable time. Foster a positive, collaborative, and high-performing workplace culture.
Medical Records & Compliance:
Ensure patient records are accurately maintained and securely stored in compliance with applicable regulations. Maintain compliance with HIPAA and all relevant healthcare privacy and security standards. Monitor and enforce adherence to healthcare regulations, policies, and best practices.
Billing & Revenue Cycle Management:
Oversee billing, collections, claims processing, and accounts receivable functions. Monitor billing accuracy and resolve claim submission and reimbursement issues. Analyze billing and collection trends and implement process improvements. Support coding compliance and remain current with healthcare billing regulations and payer requirements. Coordinate physician credentialing and re-credentialing activities. Develop and maintain standard operating procedures related to billing operations.
Marketing & Patient Experience:
Support marketing initiatives that promote the practice and strengthen community engagement. Monitor patient satisfaction and implement strategies to enhance the patient experience. Address patient concerns and complaints professionally, compassionately, and promptly. Oversee the development of patient education materials, newsletters, and other communications.
Quality Improvement:
Support and participate in quality improvement initiatives and operational excellence programs. Utilize operational data to identify opportunities for improvement and implement corrective actions. Qualifications Required Bachelor's degree in Healthcare Administration, Business Administration, Healthcare Management, or a related field, or equivalent experience . Minimum of 2-5 years of healthcare management or medical practice management experience. Strong knowledge of medical office operations, billing, revenue cycle management, and regulatory compliance. Demonstrated leadership, organizational, and communication skills. Experience supervising and developing staff. Proficiency with electronic health records (EHR) systems and practice management software. Preferred Certified Medical Practice Executive (CMPE) or other healthcare management certification. Experience with physician credentialing and healthcare quality programs. Knowledge of healthcare coding, reimbursement, and payer requirements. Why Join Family Physicians of Tidewater?
