Located in Seattle, we are a small in-office law firm overlooking beautiful Puget Sound. We pride ourselves on fostering relationships, supporting each other in our practice areas, continually improving processes and consciously providing opportunities to build community amongst ourselves. The Office and Human Resources Manager supports the CEO through the management of human resources duties and day-to-day administrative tasks, ensuring the adherence to and maintenance of established processes, procedures and databases. This is a full-time, exempt, onsite position, Monday - Friday. Human Resources Supervise and work collaboratively with 16 non-attorney staff, including legal assistants, paralegals, records clerk/office assistant and billing coordinator. Back up the office assistant/records clerk. Maintain the employee Census excel spreadsheet ensuring 100% accuracy in real time. Manage recruiting process of non-attorney staff. Plan for and execute on/offboarding. Prepare and conduct performance reviews (90-day, annual, and as needed). Administer firm benefits, open enrollment and audits. Update Employee Policy Manual annually or as needed. Maintain knowledge of employment law changes and ensure adherence to applicable local, state and federal employment laws. Manage and document complex and/or delicate circumstances such as medical leaves, accommodations, employee conflicts, terminations. Prepare bi-monthly payroll data and surveys. Prepare and file required surveys, census reports, and financial reports as requested by the CEO. Office Administration Ensure employees have the tools and resources needed to perform their duties. Oversee physical office including furniture, law library, video conferencing, RING, postage equipment, beverage and snack inventory. Liaison with the contracted IT and copier vendors. Maintain accurate inventory list of IT equipment. Update a variety of firm related databases including the Expert Database, Law Library inventory, and on/off-site closed case boxes. Research and audit vendor resources ensuring cost effective contracts. Plan and execute company events including monthly Birthday celebrations, Summer Picnic, Staff Appreciation Week, and Holiday Party. Provide support to CEO and partners on charitable fundraising activities, including the firm's annual Northwest Harvest event and Toys for Tots toy drive. Update firm website as needed. Plan and facilitate in-house continuing education events for attorneys and track WSBA credits. Collect, open and distribute daily mail. Continually seek to improve processes and the quality of work through open dialogue with colleagues. Perform other duties as requested and be willing to step in, cover for and perform tasks needed to ensure a smooth-running office. Skills, Abilities and Experience Minimum experience levels: 5 years' managerial office support and desired 8-10 years human resources. SPHR and/or
SHRM - SCP
desired but not required. Strong proficiency in Microsoft Office and excellent Excel skills. Ability to work with colleagues professionally, effectively, and respectfully. Experience working with employees represented across a broad spectrum of experience levels. Exceptional organizational skills and ability to prioritize workload and timelines. Ability to anticipate needs and offer proactive support. Ability to be flexible and comfortable with multiple conflicting priorities. Demonstrated ability to maintain confidentiality in all situations. Desire to develop relationships with individuals who have different cultural frameworks.
Pay:
$115,000.00 - $135,000.00 per year
