ABOUT SUPERIOR FLYING SERVICES
Superior Flying Services (SFS) is a full-service Fixed Base Operator and FAA-certificated flight school located at Richard I. Bong Airport in Superior, Wisconsin. We offer professional flight training, aircraft rental, aircraft management, aircraft maintenance, sales and fuel and ground handling to the Lake Superior region. Our small, dedicated team takes pride in delivering an exceptional experience to every student, pilot, and customer who walks through our door.
POSITION SUMMARY SFS
is looking for a highly organized and personable Office Manager to be the operational backbone of our FBO and flight school. This role is the first point of contact for students, customers, and visitors, and is central to keeping the administrative, scheduling, and financial functions of the business running smoothly. The ideal candidate is detail-oriented, comfortable in a fast-moving environment, and genuinely enthusiastic about aviation — prior aviation experience is a plus but not required.
KEY RESPONSIBILITIES
Front Desk & Customer Relations Serve as the primary point of contact for walk-in customers, students, and transient pilots — in person, by phone, and by email Greet and assist customers with scheduling, inquiries, and general information about SFS services Maintain a professional, welcoming front office environment at all times Handle customer concerns and escalate to management as appropriate Scheduling & Coordination Manage the daily scheduling of flight instruction, aircraft rentals, and discovery flights using flight school management software Coordinate instructor and aircraft availability; communicate schedule changes promptly to students and staff Schedule and confirm appointments, ground school sessions, and checkride preparation flights Track student training records, stage completions, and currency requirements Administrative & Financial Operations Process payments for flight training, fuel, rentals, and other services; maintain accurate billing records Manage accounts receivable; follow up on outstanding balances and student account statements Reconcile daily transactions and prepare deposits; coordinate with bookkeeper or accountant as needed Maintain organized physical and digital filing systems for student records, maintenance logs, and business documents Order and manage office and operational supplies inventory Assist in preparing reports, correspondence, and operational documentation for management Flight School Support Assist with student enrollment, onboarding paperwork, and

records coordination Track student medical certificates, student pilot certificates, and logbook milestones for scheduling eligibility Maintain and update the student roster and communicate training progress as directed by chief instructor Support ground school logistics including room setup, materials preparation, and attendance tracking Assist with social media updates, newsletter content, and community outreach materials as needed Compliance & Recordkeeping Maintain required FAA Part 141 or Part 61 records in accordance with regulatory requirements Assist with preparation for FAA inspections and audits by keeping records current and organized Ensure ITAR/EAR and TSA Alien Flight Student Program (AFSP) documentation is completed for applicable students
QUALIFICATIONS
Required Minimum 2 years of office management, administrative, or customer service experience Exceptional organizational skills with strong attention to detail Excellent written and verbal communication skills; professional phone and email manner Proficiency with Google workforce or equivalent tools Experience handling billing Quickbooks, payments, and basic bookkeeping tasks Ability to manage multiple priorities and work independently in a dynamic environment Friendly, professional demeanor and genuine enjoyment of working with people Preferred Familiarity with FAA Part 61 or Part 141 flight school operations and recordkeeping Background or interest in aviation; student pilot certificate or higher is a plus Experience in a small business, FBO, or aviation services environment QuickBooks or similar accounting software experience
WORK ENVIRONMENT
This is a primarily office-based position in a general aviation environment. The Office Manager works at the front desk and in the main office at SFS headquarters at Richard I. Bong Airport. The pace can be fast, particularly during peak training seasons, and the role requires comfort with frequent interruptions and shifting priorities. Occasional weekend or early morning coverage may be needed to support flight operations.
