Job Description

Job Summary We are seeking animal-friendly, capable and organized Office Manager/Bookkeeper to join our team! In this role, you will oversee daily office operations, manage administrative tasks, and handle bookkeeping responsibilities to ensure smooth and efficient business functions. Some reception work can be expected (phone and scheduling) as well. Responsibilities Manage front desk operations, including greeting visitors, answering multi-line phone systems, and emails, and providing exceptional customer support. Handle all clerical duties such as filing, data entry, proofreading, and maintaining organized records. Perform bookkeeping tasks using QuickBooks to process invoices, track expenses, update costs and reconcile accounts. Support calendar management and scheduling for staff and appointments, including personal assistant duties when needed. Maintain office supplies inventory and coordinate with vendors to ensure smooth office operations. Assist with office management tasks such as organizing files, managing office equipment, and overseeing general administrative functions. Provide excellent phone etiquette and customer service to clients, vendors, and visitors while ensuring timely responses to inquiries. Skills Proficiency in QuickBooks is essential. Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Excellent computer literacy and data entry skills. Experience in office management, clerical work, or administrative support is preferred, as is work in a veterinary clinic or similar enviroment. Knowledge of multi-line phone systems and front desk procedures enhances your ability to manage calls professionally. Exceptional customer service skills with a focus on phone etiquette and customer support excellence. Attention to detail for proofreading documents and maintaining accurate records. Time management skills to handle multiple responsibilities efficiently while meeting deadlines. Previous experience as a medical receptionist or personal assistant is advantageous but not required.
