As a Medical Record Retrieval Specialist, you'll be at the forefront of ensuring that crucial medical records are gathered quickly and efficiently. What You'll Do:
In this exciting position, you'll be the first point of contact for medical records requests. Your proactive nature and sharp communication skills will ensure timely retrieval of essential documentation. Here's a glimpse of your key responsibilities:
Request and Collect Medical Records:
Initiate Requests:
Dive into action by contacting healthcare providers, hospitals, and clinics to gather medical records, making sure all necessary patient information is included.
Track Requests:
Keep a meticulous log of all requests, maintaining clear records of dates, contacts, and statuses to ensure nothing slips through the cracks.
Follow-Up:
Be the champion of communication! Conduct regular follow-ups to ensure timely receipt of records, quickly addressing any delays or concerns.
Communication:
First Point of Contact:
Be the friendly voice for healthcare providers regarding medical record requests, providing clear instructions and addressing any questions they may have.
Internal Updates:
Keep our internal teams in the loop on the status of medical record retrieval, ensuring smooth collaboration.
Issue Resolution:
Tackle any discrepancies in received records by coordinating with healthcare providers to secure accurate documentation.
Documentation and Data Entry:
Accurate Logging:
Document all activities related to medical record requests with precision, ensuring completeness and accuracy.
Electronic Filing:
Scan (if necessary) and upload all retrieved records into our electronic document management system for seamless access.
Compliance and Confidentiality:
HIPAA Compliance:
Adhere strictly to laws and regulations regarding the handling of medical records, ensuring patient privacy is always protected.
Secure Handling:
Manage all records securely, both physically and electronically.
Training and Awareness:
Participate in ongoing training to stay updated on compliance requirements and best practices.
Process Improvement:
Identify Bottlenecks:
Spot inefficiencies in the retrieval process and propose innovative solutions to streamline operations.
Feedback Loop:
Share insights with management on recurring challenges, contributing to continuous improvement.
Best Practices:
Engage in team discussions to help develop and implement best practices for medical record retrieval.
Customer Service:
Client Interaction:
Deliver exceptional customer service to internal and external clients, meeting their needs promptly and professionally.
Feedback Handling:
Address client concerns regarding the retrieval process with grace and efficiency.
Continuous Improvement:
Always seek opportunities to enhance customer experience through improved communication and efficiency.
Qualifications:
Education:
High school diploma or equivalent required; some college coursework preferred.
Experience:
1+ years in a professional environment; previous experience in healthcare, insurance, or administration is a plus. Why Join Us? Skills & Experience Demonstrates proficiency using computer applications One or more years of experience entering data into computer systems Experience in using the internet is required Ability to work independently and meet production goals Strong verbal communication skills with demonstrated success responding to customer inquiries Success working in environments that require strong attention to detail Proven track record of dependability High School Diploma or GED required Prior work experience in Release of Information in a physician's office or HIM department is a plus Knowledge of medical terminology is a plus Knowledge of HIPAA regulations is preferred Schedule, Location & Pay Monday-Friday | 8:00 AM - 5:00 PM Predictable full-time schedule
