Medical Chart Prep Specialist 921 Oak Park Boulevard, Pismo Beach, CA 93449 From $20 an hour - Full-time From $20 an hour - Full-time Position Summary Associated Surgeons of San Luis Obispo is seeking a Medical Records Chart Prep Specialist to join our growing practice. The ideal candidate will have prior medical office experience, excellent attention to detail, and be able to thrive in a fast-paced environment. This position plays a key role in supporting efficient patient care by gathering and organizing all pertinent medical records for our busy clinic. Essential Functions and Duties Review upcoming patient schedules and prepare paper charts in advance of appointments. Obtain and organize medical records from referring providers, hospitals, imaging centers, and laboratories. Verify that all required documentation, authorizations, referrals, test results, and consultation notes are available prior to patient visits. Scan, upload, index, and accurately file records in the electronic medical record (EMR) system. Strictly follow Company's Chart Preparation Guidelines to ensure that all relevant and required paperwork is included in each chart prepared for each visit and visit type. Identify missing documentation and follow up with patients, providers, and facilities as needed. Ensure charts are complete and organized according to practice standards. Communicate with clinical staff regarding incomplete records or urgent chart preparation needs. Maintain patient confidentiality and comply with HIPAA regulations. Assist with general medical records and administrative tasks as assigned.. Perform other job duties, activities, or responsibilities as assigned by the needs of the business, with or without notice. Qualifications Prior medical office experience is required. Strong attention to detail and ability to multitask. Strong organizational and time management skills. Good verbal/written communication skills (in English language) with ability to effectively communicate with managers, peers, owners, customers, visitors, and vendors. Ability to work in a fast paced and results driven environment. Comply with HIPAA regulations. Assist with general medical records and administrative tasks as assigned by your supervisor.
