We are hiring a Medical Records and Referral Clerk whose responsibilities will include providing a thorough and rapid response to our incoming new patient referral pipeline. The ideal candidate pairs their sharp attention to detail, excellent organizational and multitasking skills, with a strong sense of initiative and outstanding workplace and teamwork ethics.
Responsibilities Maintain Electronic Patient Charts:
accurately scan, upload, and index all incoming digital and paper documents directly into patients' electronic health records, with the highest degree of accuracy.
Process Incoming Referrals:
Review incoming physician referrals, gather missing clinical records, and prepare all data according to guidelines. Coordinate closely with your peers in the receptionist and scheduling environment, including scheduling appointments and backup coverage as needed.
Fax and Email Handling:
Manage incoming electronic and physical faxes and Records department emails. Promptly scan, print, upload, distribute, task, and forward incoming communication per workflow guidelines.
Medical Records Requests:
Respond to incoming and outgoing medical records requests. Ensure required release forms are completed and received.
Date Entry and Verification:
Conduct billing/insurance verification, patient demographic, record collection, and data entry. HIPAA Compliance;
Privacy and Confidentiality:
Ensure full compliance with HIPAA, company, state, and federal guidelines for patient privacy and confidentiality.
Department Supplies:
Maintain postage, mailing, and shipping supply inventories.
Archives:
Archive aged charts and records.
Other Responsibilities:
Within the scope of the role. Knowledge Proficient with
Computer Programs, Software, and Applications:
Highly proficient in Microsoft and Google products. Strong familiarity with using applications to merge documents (Adobe, for example).
Compliance:
Knowledge of and adherence to HIPAA, OSHA, and government regulations for medical records and PHI. Ability to maintain confidentiality.
Office Equipment:
Proficiently operate computers, copiers, scanners, fax machines, telephones, and other office equipment.
Communication:
Knowledge of business etiquette and expectations for strong written and verbal communication. Exceptional Attention to
Detail:
Able to filter high-volume incoming records and identify combined files, to separate and ensure HIPAA compliance when scanning or uploading records to charts.
Skills and Abilities Professional Communication:
Clear, polite, and accurate communication, in all forms of communication, when interacting with patients, all external parties, and internal team members and providers.

Time-Management Skills:
Work efficiently and effectively. Understand and adhere to deadlines. Qualifications Experience in medical records scanning, document archiving, or similar function required. Work experience in a professional office environment; medical offices preferred. Professionalism. Excellent communication skills. Familiarity with electronic medical records software (EMR/EHR) preferred. Experience with office equipment and computer hardware and software relevant to the role. Familiarity with medical office terminology is helpful. Education and Requirements Minimum of HS Diploma or equivalent required; some college preferred. Must be a U.S. citizen or legally authorized to work in the United States. Physical Demands This position requires frequent physical activity, including standing, walking, bending, kneeling, stooping, crouching, and lifting. The employee may occasionally lift and/or move up to 50 pounds. Work Environment Individuals in this role routinely use standard office equipment, such as desktop and laptop computers, telephones, photocopiers, filing cabinets, and fax machines. This job will require occasional exposure to patient elements.
