Job Description

Purpose of Your Job Position The primary purpose of your job position is to perform concise clerical duties (such as filing, taking phone calls, making photocopies etc.) for the nursing floor and medical records office as needed, and to transcribe details of telephone orders given by physicians. Delegation of Authority As a Unit Secretary you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties. Duties and Responsibilities Administrative Functions Maintain department's supplies and keeps equipment operational. Organize, label and file charts and medical records. Help transport residents as needed. Act as an information resource for patients, families, visitors, physicians, and outside reviewers in person and/or via telephone. Complete clerical duties for admissions, discharges, transfers, deaths and passes such as transcribing orders to medication/treatment sheets, ordering medications, dietary changes, therapies etc. Complete lab and special examination requisitions and data entry, as it pertains to the medical records department. Greet visitors, doctors, and new admissions with warmth and friendliness; helping with any assistance needed. Transcribe and verify admission orders and daily doctor's telephone orders will be verified and transcribed in a timely manner. Complete medical records by reviewing and assembling paperwork in proper order into a permanent folder. Order labs, ultrasounds etc. required for new admissions. Verify proper authorization for release of information. Processes subpoenas and routine request for copies of medical records. Receive and follow reception schedule/instructions from your supervisor and as outlined in our established policies and procedures. Operate paging/telephone system as required. Answer telephone, determine nature of call and direct caller to appropriate individual or department. Receive inquiries and release information in accordance with established policies and procedures. Ensure guests/visitors abide by existing rules and refuse admission to persons as directed. Report suspicious persons/information to supervisor immediately. Receive, sort and distribute mail as directed. Other related duties and responsibilities that may become necessary or appropriate including filling in for other department personnel (such as marketing, social services etc.) Equipment and Supply Functions Ensure administrative supplies have been replenished in work areas as necessary. Use office supplies in an efficient manner to avoid waste. Request repairs for office equipment as necessary. Ensure that work/assignment areas are neat, clean and office equipment is covered before leaving such areas on breaks, end of work day, etc. Operate computer, copier, office machines, etc., as directed. Personnel Functions Perform all assigned tasks in accordance with our established policies and procedures, and as instructed by your supervisors. Follow work assignments, and/or work schedules in completing and performing your assigned tasks. Create and maintain an atmosphere of warmth, personal interest and positive emphasis, as well as a calm environment throughout the unit and shift. Resolve problems in a professional and timely manner by not blaming others, taking responsibility, focusing on solving the problem, enlisting the help of others, anticipate problems before they occur, and communicates solutions to those that need to know. Actively contribute to team goals by encouraging and helping each other perform to the best of their capabilities, developing and reaching goals together, and recognizing the contribution of others and promoting positive working relationships. Resident Rights Maintain the confidentiality of all resident care information. Ensure that you treat all residents fairly, and with kindness, dignity, and respect. Report all grievances and complaints made by the resident to the Nurse Supervisor/Charge Nurse. Report all allegations of resident abuse and/or misappropriation of resident property. Honor the resident's refusal of treatment request. Report such requests to your supervisor. Working Conditions May be exposed to infections and contagious diseases Occasional exposure to unpleasant patient or unit elements Contact with patients under wide variety of circumstances Subject to varying and unpredictable situations Subject to many interruptions Occasional pressure due to multiple calls and inquiries

$16.00 - $18.00 per hour
