In this vital role, you will serve as the first point of contact for patients and visitors, ensuring a warm, professional, and efficient experience. Your expertise in medical administrative support, insurance verification, and dental office management will help streamline daily operations and foster a welcoming environment. The ideal candidate is energetic, highly organized, and possesses excellent communication skills to coordinate appointments, manage patient records, and facilitate smooth office workflows. Duties Greet patients warmly upon arrival and assist with check-in procedures using dental and electronic health record (EHR) systems such as Dentrix or Eaglesoft. Schedule patient appointments accurately utilizing medical scheduling software while managing multi-line phone systems with professionalism and courtesy. Verify insurance coverage, perform insurance verification, and communicate benefits to patients effectively. Collect and review patient documentation, including intake forms, medical history updates, and consent forms, ensuring compliance with HIPAA regulations. Manage patient records by filing, updating electronic medical records (EMR), and maintaining accurate documentation review processes. Handle billing processes including medical billing, coding (CPT, ICD-9/10), and collections using Meditech or Athenahealth platforms. Support clinic operations by managing front desk activities such as answering phones with proper phone etiquette, scheduling follow-ups, and coordinating care plans with the clinical team. Maintain a clean and organized office environment while adhering to health information management standards for confidentiality and security. Skills Proven experience in dental office or medical administrative support with strong knowledge of dental terminology and medical coding practices. Proficiency in EMR systems such as Dentrix, Eaglesoft, Meditech, eClinicalWorks, or Athenahealth; familiarity with hospital experience is a plus. Excellent computer skills including Microsoft Office suite (Word, Excel), typing (including 10 key typing), and familiarity with office management software like Office 365. Strong understanding of HIPAA compliance, health information management protocols, ICD coding (ICD-9/10), CPT coding, and Medicare regulations. Exceptional customer service skills with the ability to handle multi-line phone systems efficiently while demonstrating professional phone etiquette. Bilingual abilities are highly desirable to serve diverse patient populations effectively. Experience with dental clinic operations such as insurance verification, intake procedures, appointment scheduling, and medical billing is preferred. Ability to work in a fast-paced environment while maintaining attention to detail in documentation review and filing tasks. Knowledge of dental terminology combined with clinic experience enhances your ability to support clinical staff seamlessly.
