Job Description

Southern California GI & Liver Centers, a specialized medical practice with multiple locations is seeking qualified individuals for a Scheduler position. Position is open for office in Chula Vista, California. Responsibilities will also include, but are not limited to: Schedule, reschedule, and confirm clinic appointments, procedures (such as endoscopy, colonoscopy, liver biopsy), and follow-up visits in a timely and professional manner. Coordinate procedure scheduling for example with surgery centers, hospitals, anesthesia providers, and physicians. Provide patients with procedure preparation instructions, appointment details, and registration requirements. Communicate schedule changes, cancellations, and updates to patients and providers. Respond to patient inquiries and concerns with professionalism and excellent customer service. Accurately document all patient communications within the electronic medical record (EMR). Process incoming and outgoing referrals for consultations, procedures, imaging, specialty testing, and ancillary services. Verify patient eligibility, insurance coverage, benefits, payer requirements, and authorization status. Obtain and track prior authorizations for procedures, imaging studies, specialty medications, infusions, and diagnostic testing. Follow up on pending authorizations, denials, appeals, and peer-to-peer review requests. Ensure referral and authorization requirements are completed prior to patient appointments and procedures. Maintain accurate documentation of referral and authorization activity within the EMR. Assemble and review procedure packets to ensure all required documentation is complete. AI Workflow & Digital Operations Utilize AI-powered tools and software platforms to improve workflow efficiency, documentation organization, scheduling processes, and administrative tasks. Assist with implementation and optimization of AI-assisted office systems and workflows. Review AI-generated documents and communications for accuracy, completeness, and compliance. Support providers and staff with AI-enhanced workflow solutions and digital process improvements. Identify opportunities to streamline administrative processes through automation and technology. Administrative Support Maintain HIPAA compliance and patient confidentiality at all times. Collaborate effectively with physicians, clinical staff, management, and external partners. Assist with additional administrative duties and special projects as assigned. Demonstrate professionalism, accountability, and a patient-centered approach in all interactions. Job Qualifications Minimum one year of experience in medical scheduling, referrals, prior authorizations, insurance verification, or medical office administration. Strong computer proficiency and ability to learn new software systems. Excellent organizational, multitasking, and time management skills. Strong verbal and written communication skills. Ability to work efficiently and accurately in a fast-paced environment. Professional demeanor and strong customer service skills Experience in gastroenterology, endoscopy, specialty medical practice, or surgery center settings. Experience with Epic or other EMR/EHR systems. Knowledge of medical terminology and insurance authorization processes. Experience with prior authorizations for GI procedures and specialty medications. Familiarity with AI-assisted administrative and workflow management tools.
