Job Description:
Vista Del Mar Senior Living is seeking an experienced and energetic Receptionist to join our team. You will serve as the first point of contact for visitors, residents, and callers. This role requires strong multitasking skills, attention to detail, and a compassionate, patient approach when working with elderly residents. This position is ideal for college or graduate students seeking experience while attending school, as hours are primarily evenings and weekends with some flexibility available. We are one of the largest assisted living communities in Long Beach, offering assisted living and memory care services. We value our staff and provide opportunities for growth within the company. Regular Tasks and Duties:
- Greets and directs visitors
- Maintains security by following procedures; monitoring sign in book and issuing name badges.
- Maintains safe and tidy reception area.
- Documents and communicates daily actions in Reception log.
- Maintains current and up to date resident census including contact information, adding and/or removing information as needed.
- Answer all incoming calls and take messages or transfer to the appropriate department/voicemail box.
- Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
- Receives, sorts and forwards incoming mail.
- Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
- Assists with other related clerical duties such as photocopying, faxing, filing and collating.
- Assists in the ordering, receiving, stocking and distribution of office supplies.
- Maintain accurate census and Emergency Contact information and hospital list
- Keep track of important information and email log to managers at the end of shift.
- Keep track of incidentals, meal slips and escort slips.
- Write down work orders.
- Monitor nurse call lights, not to go over 10 min. email explanation at end of shift
- Distribute packages, mail and handouts to residents and staff
- Assist residents in scheduling appointments, getting escorts as needed and maintain appointment schedule for driver
Additional Responsibilities:
- Help maintain the self-respect, personal dignity, and physical safety of each resident.
- Be familiar with confidentiality regarding resident information and adhere to requirements.
- Work cooperatively with all other staff and relate favorably to residents and their families.
- Be familiar with and able to apply all of the facility accident, fire safety, OSHA, and emergency procedures.
- Be familiar with the Residents' Bill of Rights and assist residents with exercising these rights.
- Participate in job-related continuing education as required by Administrator.
- Perform other related duties as assigned or required by circumstances.
Requirements:
Strong communication and customer service skills Professional, positive, and compassionate attitude Basic computer skills (email, Microsoft Office, scheduling systems) Ability to multitask and stay organized in a fast-paced environment Must be at least 18 years old Must pass DOJ/FBI Live Scan background check prior to employment Must be TB-free and physically/mentally able to perform job duties (verified by health screenings) Previous experience in healthcare, hospitality, or assisted living preferred (not required)
Working Conditions:
Weekend and holiday work may be required based on business needs. Ability to communicate effectively in English to perform the essential functions of the position.
