Job Description

Fast-paced ophthalmology practice in Encino, CA, seeks a friendly, detail-oriented, and organized individual to fill a permanent, full-time medical receptionist position. Primary duties include answering the telephone, verifying patient appointments, and responding to patient records requests. An ideal candidate will have outstanding telephone, secretarial, written/verbal communication, and computer skills. Must be organized, multi-task oriented, energetic, and possess a positive, professional attitude. We are a well-respected and established multi-physician Ophthalmology practice. We have a great working atmosphere and we take pride in giving our patients outstanding customer service. •Electronic Health Record System experience preferred•Reports to Front Office Manager Summary of Responsibilities Responsible for answering and triaging incoming calls, documenting and responding to patient requests (voice, text, email, or fax), registering new patients, updating existing patient demographics, scheduling appointments, verifying insurance benefits, informing the patient of share of cost, collecting outstanding balances, and documenting referral sources for patients in an efficient and timely manner. List of Responsibilities/Duties Answers and triages calls and patient requests accordingly. Registers new patients. Updates existing patient demographics. Schedules patient appointments. Informs patient of necessary copays, co-insurance fees, deductibles, and collects outstanding balances if any. Reminds patients of items to bring, including their referral, medications, eye drops and eyewear. Takes messages and assures they are delivered to the appropriate team member and/or documented into the electronic health record. Handles inquiries about accepted insurance, office hours, services, locations, exam fees, doctor information, etc. Enters referral information into the computer system. Prepares and mails letters. Answers all calls in a prompt, professional and polite manner. Responds easily to routine requests for information. Ensures that all messages are clearly written and distributed promptly and appropriately. Maintains patient confidentiality at all times. Cooperates and communicates with all departments. Maintains complete and accurate records. Greets/admits patients as needed. Demonstrates ability to operate and maintain copy machine, postal meter, and keyboard. Assists in keeping the waiting room neat. Participates in safety and performance improvement programs as directed. Gives lunch and telephone relief for other staff. Performs other duties as required. Minimum Education Requirements High school diploma or GED. Minimum Background Requirements Read, write, communicate and present a neat professional appearance. Create a good impression as a friendly, empathetic, composed and efficient individual, as this position has the first contact — phone or face to face — with the patient. Demonstrate reliability, a pleasant attitude and a willingness to perform the duties as required. Position requires patient, physician and vendor contact; therefore, individuals must exhibit pleasant manners, be professional in conduct, have the ability to listen and represent Practice standards of high efficiency and decorum. Position requires the ability to successfully manage urgent and sometimes confrontational interactions with patients while maintaining practice standards. Maintain and comply with patient confidentiality and integrity policy on all matters.
Qualifications:
Prior experience in customer service or sales roles. Prior call center experience. Strong interpersonal and communication skills, with the ability to engage and connect with customers of diverse backgrounds. Excellent problem-solving abilities, coupled with the capacity to remain calm and composed under pressure. Minimum Demonstrated Skills Interacts well with staff members and physicians. Demonstrates listening skills. Possesses skill in operating computers and answering multi-line phone systems. Possesses a willingness and desire to learn by instruction. Possesses the ability to learn about services and terminology. Physical Demands Must be able to sit for long periods of time. Must be able to communicate via the telephone. Must be able to view and type computer data. Must be able to adhere to work schedule.
Pay:
$21.00 - $24.00 per hour
