Job Description:
Montclair Pediatric Dentistry is seeking a motivated and skilled individual for a long-term position to join our team. In this role, you will play a key role in ensuring the smooth operation of our growing pediatric practice while providing exceptional customer service to our patients. This position offers excellent long-term growth opportunities, including the potential to grow into a leadership or management role within the practice.
Responsibilities:
Greet patients and families with a friendly and professional attitude. Manage patient scheduling, appointment confirmations, and follow-up. Communications to optimize patient flow and enhance patient satisfaction. Handle patient inquiries, registration, insurance verification, and billing processes with accuracy and attention to detail. Maintain electronic health records (EHR) and ensure compliance with HIPAA regulations and privacy standards. Communicate effectively with the team members and assist with coordination. Maintain a clean, organized and kid-friendly front office. Prepare hygiene, treatment rooms and provide chairside assistance as needed. Help keep our young patients (and their parents!) smiling. Verify insurance eligibility : Ensure patients' insurance coverage is active and determine details of their plan. Review patient benefits : Explain dental insurance benefits to patients, including coverage limits and exclusions. Coordinate treatment plans : Work with dental staff to ensure treatment plans align with insurance coverage to optimize reimbursement. Maintain accurate records : Keep detailed and up-to-date patient insurance information in the practice management system. Pre-treatment estimates : Provide patients with estimates for treatments based on their insurance coverage before services are rendered. Billing and payments : Track patient balances, process patient payments, and assist with insurance payments that have been received. Update insurance provider information : Regularly update changes in patient insurance providers or plan details. Communicate with patients : Discuss insurance issues with patients, including delays in claims or potential out-of-pocket expenses. Stay current on insurance changes : Keep up-to-date with insurance company policies, regulations, and changes in procedures. Ensure compliance : Ensure all insurance claims comply with relevant laws and regulations, including HIPAA.
Requirements:
Experience in
Dental Office or Insurance Coordination :
at least 5 years of experience in dental office administration, billing, or insurance coordination.
Knowledge of Dental Insurance Plans :
Familiarity with a range of dental insurance PPO plans. Experience with
Dental Software :
Proficiency in using practice management software and insurance claim submission systems.
Strong Communication Skills :
Must be able to clearly communicate insurance details to patients, staff, and insurance carriers. Attention to
Detail :
Accuracy is critical when verifying benefits, submitting claims, and following up on outstanding payments.
Problem-Solving Abilities :
Ability to resolve insurance denials, mistakes, or issues quickly and efficiently.
Knowledge of CDT Codes :
Familiarity with dental coding systems (such as ADA codes for procedures and insurance claim coding).
