Two brands under one roof, a tight-knit team, and a patient base that's a pleasure to work with. We offer injectables, laser treatments, body contouring, hormone therapy, and hair restoration surgery. We're hiring a Front Desk Coordinator to be the welcoming first point of contact for every patient who walks through our doors or calls our office. The Role You're the face and voice of the practice — the first person patients see when they arrive and the last person they interact with before they leave. Our practice offers a wide range of services — injectables, energy-based laser treatments, body contouring, hormone therapy, skincare, supplements, and hair restoration surgery. You don't need to know all of this on day one, but you do need to be genuinely curious about it and willing to learn it deeply. The more you know, the better you can serve our patients.
Schedule:
We're open to both full-time and part-time candidates. Wednesday, Thursday, and Friday are required. Monday and Tuesday are available for qualified candidates who want full-time hours; those two days are flexible for candidates who prefer a part-time schedule. What you'll do day-to-day: Greet patients warmly and check them in for their appointments Answer phones, return voicemails, and respond to patient texts Book, confirm, and reschedule appointments in our EMR (Prospyr) Check patients out, collect payment, and book their next visit before they leave Help fill last-minute openings by reaching out to patients on our move-up list Answer patient questions about our services, products, and pricing Keep the lobby and front office tidy and presentation-ready Support the team with patient communication and light administrative tasks What We're Looking For A genuine team player — you jump in to help without being asked, cover for teammates when things get busy, and don't bring drama into the workplace A friendly, warm presence — patients should feel welcomed the moment they walk in or call Strong multitasker — you can juggle a ringing phone, a patient checking in, and a text message coming through without missing a beat At least 1 year of medical spa experience and/or 1 year of front desk/scheduling experience in a healthcare or service-based business Genuinely interested in aesthetics and wellness — you want to learn our services, products, and procedures deeply, and you can pick them up quickly Reliable and punctual — the office can't open without you Comfortable with technology — you can learn new software quickly (we'll train you on Prospyr) Solid typing speed — comfortable typing 40+ WPM (we'll confirm this during the interview process) Coachable and eager to learn — you take feedback well and apply it Calm under pressure — busy days and schedule changes don't rattle you Strong written and verbal communication — clear, professional, friendly Discretion — patient privacy and HIPAA are non-negotiable Nice to Have (Not Required) Both medical spa AND scheduling experience Experience with Prospyr, Aesthetic Record, Symplast, Nextech, or similar EMR Familiarity with injectables, laser treatments, or hair restoration Bilingual (Spanish) Not a Fit If You prefer to "stay in your lane" and only do tasks formally assigned to you You take feedback as personal criticism rather than coaching You're not curious about aesthetics, wellness, or what we offer our patients You're looking for a role with minimal patient interaction You can't commit to Wednesday, Thursday, AND Friday each week What You Get $20-$24/hour depending on experience Full-time or part-time schedule — Monday-Friday, no weekends, no evenings Discounted services and products A supportive and collaborative team environment Opportunity for growth and increased responsibility in a fast-growing practice A beautiful office and a team that genuinely likes each other How to Apply Apply through Indeed with your resume and answer the screening questions.
