Front Desk Specialist -
Physical Therapy Location:
East Hartford, CT (travel between locations as needed) Position Summary We are seeking a friendly, organized, and detail-oriented Front Desk Specialist to join our healthcare team. This role serves as the first point of contact for patients and plays a critical role in delivering exceptional customer service while supporting the daily operations of a busy medical practice. The ideal candidate will have experience in a healthcare setting, strong administrative skills, and a commitment to providing compassionate patient care. Key Responsibilities Greet patients warmly and professionally upon arrival. Manage patient check-in and check-out processes efficiently. Enter, verify, and update patient demographics and insurance information. Educate patients regarding office policies, billing procedures, and insurance participation. Schedule appointments accurately using Electronic Medical Record (EMR) systems Contact patients who miss scheduled appointments (no-shows) to reschedule and recapture appointments, ensuring continuity of care and maintaining provider schedules. Document all patient outreach efforts and scheduling updates in the EMR system. Operate and manage a multi-line phone system while providing excellent customer service. Process incoming physical therapy referrals by reviewing referral documentation, verifying insurance requirements, obtaining necessary authorizations, contacting patients to schedule appointments, and ensuring all referral information is accurately documented in the EMR system. Review patient charts prior to appointments to ensure all required documentation and reports are available. Respond to patient messages and facilitate communication between patients and providers. Maintain accurate medical records while ensuring compliance with HIPAA regulations and privacy standards. Scan documents, manage office supplies, and provide general administrative support. Utilize Microsoft Office applications for scheduling, correspondence, reporting, and documentation. Process daily payments and prepare collection reports. Travel between offices to provide coverage as needed. Perform additional duties as assigned. Required Skills & Experience Previous experience in a medical or physical therapy office, physician practice, or healthcare environment preferred. Proficiency with EMR systems Knowledge of medical terminology and insurance verification processes. Strong organizational and multitasking abilities in a fast-paced environment. Excellent verbal and written communication skills. Proficiency in Microsoft Office applications. Understanding of HIPAA regulations and healthcare privacy standards. Exceptional customer service and phone etiquette skills. Preferred Qualifications Bilingual language skills are a plus. Experience coordinating referrals, authorizations, and patient scheduling. Pay:
$18.00 - $24.00 per hour
