This role is the first and lasting impression of our practice and is essential in delivering a luxury, five-star patient experience from the moment patients arrive. Position Summary The Front Desk / Patient Experience Coordinator is responsible for welcoming patients , maintaining an organized and professional front office, confirming appointments, and supporting patient communication both in person and through digital channels. When available, this role may also assist with occasional follow-up on patient leads , helping ensure timely and professional responses while maintaining a patient-first approach. Responsibilities Patient Experience & Front Desk Operations Greet patients warmly and professionally upon arrival Deliver a luxury, five-star patient experience at every visit Maintain a clean, organized, and welcoming front desk and reception area Ensure smooth check-in and check-out processes Uphold patient privacy, professionalism, and confidentiality at all times Scheduling & Appointment Management Confirm upcoming patient appointments via phone, text, and email Assist with appointment scheduling as needed Manage patient flow and communicate with the clinical team Notify patients of delays or schedule changes with care and professionalism Patient Communication & Lead Support Answer general patient questions in person or by phone when appropriate Respond to patient inquiries via email and messaging platforms in a timely manner Occasionally follow up on patient leads when available , ensuring courteous and informative communication Direct clinical or complex inquiries to the appropriate team member Administrative & Team Support Keep front desk systems, paperwork, and supplies organized Assist with basic administrative tasks as needed Collaborate with the patient care, clinical, and social media teams Support overall office efficiency and positive team culture Qualifications Required Experience in a front desk, receptionist, or patient-facing role Excellent customer service and communication skills Highly organized with strong attention to detail Professional appearance and polished demeanor Comfortable communicating via phone, email, and messaging platforms Ability to multitask in a fast-paced, high-standard environment Preferred Experience in medical, aesthetic, or luxury service settings Bilingual (Spanish/English) a plus Familiarity with scheduling systems and digital communication tools Compensation & Benefits Competitive hourly compensation (based on experience) 10 days of Paid Time Off (PTO) annually , earned on a prorated basis Annual treatment allowance High opportunity for growth and advancement within our organization Why Join Puyana Plastic Surgery Be the welcoming face of a high-end, patient-centered aesthetic practice Work in a professional, collaborative environment Play a key role in delivering exceptional patient experiences
