Job Description

We are looking for a professional, organized, and service-oriented Medical Receptionist to join our growing clinic. In this role, you will help create a welcoming and seamless experience for our clients while supporting daily operations at the clinic. You will serve as an important part of the client journey, ensuring that each visit runs smoothly from arrival through checkout. This position is ideal for someone who enjoys working with people, has an interest in the aesthetics and wellness industry, and thrives in a fast-paced, team-oriented environment. Key Responsibilities Client Experience & Communication Welcome clients warmly upon arrival and assist with the check-in process. Coordinate appointment bookings and ensure schedules are organized and accurate. Provide general information about services, treatments, and products offered. Respond to client questions and assist with resolving concerns in a professional manner. Operational & Administrative Support Maintain accurate client profiles and documentation within the scheduling system. Assist clients with completing intake forms and necessary paperwork. Process payments and assist with billing questions when needed. Help maintain a tidy, professional reception and client waiting area. Team Coordination Work collaboratively with providers, consultants, and clinic staff to ensure an efficient workflow. Support administrative tasks such as organizing consultations and assisting clients with available payment or financing options. Appointment Coordination Manage appointment adjustments, rescheduling requests, and cancellations courteously. Ensure client information is current and properly entered into the system. Work Environment Contribute to maintaining a clean, welcoming, and organized clinic environment for clients and team members. Support general office organization and daily operational needs. Qualifications Spanish (Required) English (Preferred) Must be authorized to work in the United States Prior customer service experience required; experience in a medical, spa, or wellness setting is a plus Comfortable using computers, scheduling software, and standard office equipment Strong interpersonal and communication skills with the ability to multitask in a fast-paced environment Interest in aesthetics, wellness, and client care Positive attitude with a team-oriented mindset
